Position Overview:

The Financial Operations Analyst is responsible for executing data gathering, analysis, and preparation tasks, with a primary emphasis on financial responsibilities related to budgeting and operational management.

This role also involves supporting the development of grant proposals and service fee data to assist the Director of Operations. Effective communication and collaboration with a diverse team of clinicians and researchers are crucial for success in this position.

Key Responsibilities:

  1. Oversee finance-related activities that facilitate the daily functions of the department, including the coordination of financial data and operational metrics across various programs, as well as the reconciliation of all system entries with both internal finance departments and external sponsored systems.
  2. Generate monthly reports comparing budgeted versus actual revenues and expenses for the department. Conduct monthly meetings with Directors and Managers to discuss findings and provide recommendations.
  3. Engage in quarterly discussions with the Director to assess quarterly performance. Develop various operational scenarios as requested by the Director.
  4. Complete necessary financial documentation for grant applications, including sub-contracts and consulting agreements when required. Establish and maintain budgets for both pending and awarded grants.
  5. Monitor grants to ensure compliance with all contractual obligations, including the timely submission of invoices and reports, as well as the receipt of all award statements and payments. Provide recommendations for necessary adjustments. Prepare journal entries to finalize grants and reconcile accounts.
  6. Assist the Director in compiling monthly reports required by accreditation bodies, including productivity metrics, note deficiencies, and demographic data. Offer suggestions to enhance reporting systems, databases, and reports.
  7. Respond to report inquiries and collaborate with Enterprise Intelligence, Information Technology, and EPIC teams to develop and refine departmental reports.
  8. Process departmental invoices, purchase orders, and personal service agreements. Coordinate with Accounts Payable to update vendor information as necessary.
  9. Manage monthly time-and-effort reports related to salary allocations, facilitating system entries as needed to adjust effort allocations at the direction of program leadership.
  10. Support the Director with special projects as required.

Qualifications:

Education:
Bachelor's Degree is mandatory.

Experience:

  • A minimum of three (3) years of relevant experience is required.
  • Experience in grant management and/or familiarity with contracting processes is preferred.
  • Experience in planning, implementing, and updating accounting systems is advantageous.
  • Proficiency in QuickBooks is preferred.
