Overview: The Office of the Senior Associate Dean of Research at Stanford University's School of Medicine is in search of a Research Finance Coordinator 2 (RFC 2) dedicated to delivering exceptional support to various stakeholders within the School of Medicine. The RFC 2 will oversee intricate and substantial portfolios, encompassing proposal development, post-award management, budget formulation, cost assessment, forecasting, variance analysis, labor distribution oversight, and comprehensive reporting.

Role Responsibilities:

  • Collaborate with principal investigators to prepare the administrative elements of proposals in accordance with sponsored and non-sponsored research regulations. Manage and communicate the submission process, ensuring all documents are complete and compliant.
  • Design, prepare, and finalize project budgets, providing necessary budget justifications.
  • Act as a liaison and proactive partner between principal investigators, the Office of Sponsored Research, research teams, and other departments; address sponsor inquiries effectively.
  • Work closely with the Office of Sponsored Research to ensure proper award setup and adherence to cost-sharing requirements; initiate necessary cost transfers.
  • Review and authorize expenditures, provide guidance on post-award spending and commitments, and ensure compliance with funding and revenue regulations.
  • Generate and communicate reports that support project status; develop effective forecasting tools and decision-making aids.
  • Engage in the contract closeout process; submit final reports and certificates, compiling necessary information for audit inquiries.
  • Understand, apply, and advise on university and governmental policies relevant to projects.
  • Serve as a knowledgeable resource on the subject matter and provide technical support to principal investigators and university staff.
  • Contribute to process enhancements and lead group projects involving other staff members.
  • May take on mentoring roles and provide cross-training as required.

Desired Qualifications:

  • Familiarity with Stanford Oracle financial systems, iLab Solutions, and relevant policies and procedures.
  • Comprehension of operations within a research medical institution, including financial statements, accounting principles, and federal regulations.
  • Expertise in grant and contract management, focusing on the financial aspects of sponsored projects.
  • Advanced proficiency in Excel and experience in data analysis and financial modeling.
  • Proven ability to manage multiple projects under tight deadlines, demonstrating strong organizational skills, independence, and self-motivation.
  • Excellent written and verbal communication skills, including policy documentation.
  • Strong decision-making, problem-solving, and quantitative analytical capabilities, particularly in financial forecasting and reporting.
  • Ability to collaborate effectively with individuals at various levels of authority and educational backgrounds across multiple organizations.

Education & Experience:

A Bachelor's degree along with three years of relevant experience, or a combination of education and experience.

Knowledge, Skills, and Abilities:

  • Basic understanding of governmental regulations.
  • Ability to interpret and communicate policies and procedures clearly.
  • Strong analytical skills; proficiency in Excel and web-based tools.
  • Solid accounting knowledge and principles.
  • Capability to complete required training within the first year of employment.
  • Understanding of procurement processes, including cost analyses and vendor requirements.
  • Familiarity with property management requirements related to equipment and fabrications.
  • Competency in project management with a keen attention to detail.
  • Ability to work independently while also seeking assistance when necessary.
  • Proficient time management and organizational skills.

Certifications & Licenses:

Completion of required training programs is necessary to maintain this position. Relevant certifications such as Certified Accountant or Auditor are preferred.

Physical Requirements:

Ability to perform desk-based tasks, including frequent sitting and light lifting. Occasional standing, walking, and handling paperwork may be required.
