Core Responsibilities
Initiation and Planning
- Analyze project drawings to assess requirements, including inventory and fabrication needs, and order necessary equipment.
- Review client agreements and communicate key milestones to the project team.
- Verify the availability of specialized items to prevent scheduling conflicts.
- Forecast labor needs for both setup and teardown phases, establishing processes for project execution.
- Develop and implement job budgets within the sports sector, linking costs to activities and materials for a comprehensive budget from the ground up.
- Discuss budgetary goals and expectations with relevant parties.
- Obtain necessary permits from local authorities when required.
- Participate in pre-planning meetings and conduct site visits to clarify the scope of work with clients and coordinate with various vendors.
- Ensure all rental equipment is scheduled prior to project commencement and returned post-project.
- Assign usage dates to structures to manage inventory throughout the project lifecycle.
Execution and Monitoring
- Oversee build and dismantle timelines, informing Operations of any schedule adjustments.
- Conduct periodic site visits to monitor progress and ensure compliance with timelines and quality standards.
- Provide technical guidance to project teams to ensure adherence to specifications.
- Assist Operations with inventory management and conduct formal counts of materials on-site.
- Regularly update the budget to reflect current financial margins.
- Notify senior management of significant alterations in project plans and budget adjustments.
- Procure materials as necessary to complete the project.
- Generate weekly reports for projects exceeding $200K and lasting more than two weeks.
Project Closure
- Engage in final build discussions to capture design modifications and enhance future project preparations.
- Timely reconcile all invoices.
- Collaborate with operations on material allocation for project loading.
- Coordinate debriefings and document insights for future reference.
- Establish processes for post-event evaluations, documenting both financial and operational performance for potential improvements.
- Create as-built drawings for recurring projects to ensure accuracy year over year.
- Ensure all rental equipment is returned promptly and completely.
Qualifications
- Successful completion of background checks and drug screenings.
- This role necessitates frequent travel.
- Must possess a valid driver's license and meet criteria for operating company vehicles.
- Demonstrated cross-functional leadership abilities.
- Exceptional communication and interpersonal skills.
- Basic proficiency in budget management.
- Strong analytical and problem-solving capabilities.
- Effective customer relations skills.
- Fluency in reading, writing, and speaking English is required; Spanish proficiency is a plus.
- Proficient in computer and internet usage, including general data management and Microsoft Office applications (Excel, Word, etc.).
Supervisory Responsibilities
- Direct Supervision: None
- Cross-Functional Leadership: Sales, Engineering, and Operations from proposal through event conclusion.
- Indirect Supervision: Guidance of field labor crews and temporary labor teams, along with the operations group to address inventory and logistics challenges.
