About the Position

The Administrative Specialist performs a wide variety of specialized clerical and administrative support duties for the Major Crimes Division. Tasks performed are often complex or sensitive in nature. This position uses independent judgment within guidelines, department policies, and procedures and may be required to interpret operating procedures and policies of the work unit to lower-level staff.

Position Qualifications

Education
  • High school diploma or GED
Experience
  • Two (2) years of experience performing office, administrative, or clerical duties.
Other Requirements
  • To be considered for employment with the Maricopa County Sheriff's Office, successful candidates must not have a revoked or suspended driver's license.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.
Essential Job Tasks
  • Composes complex and sensitive forms, letters, and memos.
  • Prepares and reviews specialized paperwork ensuring accuracy and completeness.
  • Inventories, orders, and stocks supplies for the division.
  • Provides administrative support to the Major Crimes Division staff.
  • Enters employee time into the payroll system, reviews final timecards, and prepares overtime reports.
  • Implements and maintains files and databases for the Major Crimes Division (e.g., office budget, vehicle inventory, personnel lists, property inventory, personnel files, and reports); tracks and follows-up as necessary.
  • Provides customer service via telephone, email and in person.
  • Provides information to the public and other agencies.
  • Creates and maintains moderately complex spreadsheets, databases, and reports.
  • Enters and manages data in a variety of database applications.
  • Maintains calendars and schedules activities.
  • Attends meetings, takes notes, generates reports, and distributes to appropriate personnel.
  • Trains and directs the workflow of lower-level administrative staff reporting to the division.
  • Maintains good attendance to perform assigned tasks as scheduled or assigned by the supervisor.
