Administrative Assistant Job Description

Adecco US, Inc. is assisting a Fortune 500 client in recruiting for an Administrative Assistant in Los Angeles, CA. This is a full-time Direct Hire position in Los Angeles, CA.

Key Responsibilities:

  • Manage the executive's calendar, working closely with other administrative staff to ensure efficient flow of information.
  • Perform administrative general office duties of a responsible and confidential nature, executing tasks with minimal direction.
  • Maintain complex records and files, handling highly confidential material.
  • Coordinate the use of major conference rooms and equipment.
  • Act as liaison between department managers and their staff in matters involving the executive's office, including meetings, documentation, and activities requiring authorized action.
  • Take authorized action in the executive's absence to ensure that matters requiring attention are referred to and handled in a manner to minimize the effect of the absence.
  • Handle projects as assigned, working independently with minimal supervision.
  • Create PowerPoint and Excel presentations, documents, and reports.
  • Compose memos, letters, and other correspondence, as needed, for the executive's review and signature.
  • Coordinate travel, including ground transportation, hotel accommodations, itinerary planning, meeting coordination, and ensuring office requirements and facilities at the destination are arranged.
  • Receive and screen communications to the executive, including telephone calls and email messages, and provide assistance using independent judgment to determine those requiring priority attention.
  • Interface with the Board of Directors and their support staffs as necessary to ensure appropriate flow of information, meetings, and processing of expenses.
  • Coordinate and resolve facility issues as necessary.

Requirements:

  • High school diploma or GED
  • 3-4 years of Administrative Assistant experience
  • Excellent written and oral communication skills, including advanced level of proofreading, editing, and grammar skills
  • Excellent telephone skills
  • Ability to type 60+ words per minute accurately
  • Proficiency in word processing, presentation, spreadsheet, and other software, Microsoft Office, i.e., MS Word, Excel, PowerPoint
  • Ability to multi-task and prioritize tasks, with frequent interruptions, without direction
  • Ability to use discretion in handling confidential information
  • Attention to detail
  • Ability to meet deadlines
  • Ability to work as a key team member with a diverse group of professional staff
  • Professional communication between executives and other administrative staff
