Key Responsibilities:

The Business Support Specialist plays a crucial role in executing and managing standardized business support processes that comply with company policies and governmental regulations. This position reports directly to the Regional Business Administration Manager.

Daily Duties Include:

  • Assisting the Regional Business Operations Manager in the development and execution of standardized business support processes.
  • Entering timesheet data into the Time Entry system and submitting manual overrides to Payroll as necessary.
  • Reviewing the Kronos Exception Report weekly and rectifying errors before submission.
  • Maintaining organized electronic storage of timesheets on the Area Shared Drive.
  • Setting up the correct prevailing wage rates for service requests and projects in the PWS system.
  • Sending Certified Payroll Reports and Statements of Compliance to clients and filing them in the designated compliance portal.
  • Submitting prevailing wage restitution requests to the compliance analyst.
  • Managing the Accounts Payable invoice queue in Basware Alusta and coordinating with relevant teams for timely processing.
  • Reviewing the ACE Accrued Receipts report monthly and submitting necessary adjustments.
  • Conducting invoice research for monthly supplier statements and responding to inquiries.
  • Completing manual check requests for urgent payments not processed through Basware Alusta.
  • Assisting with new supplier setups and managing updates as required.
  • Following established procedures for refund checks and ensuring funds are returned appropriately.
  • Acting as the district liaison with various internal teams.
  • Maintaining and replenishing office supplies as necessary.
  • Routing incoming calls and distributing mail.
  • Performing additional duties as assigned by the Regional Business Administration Manager.

Qualifications:

Required:

  • High School Diploma
  • Strong attention to detail and exceptional organizational skills
  • Proficiency in MS Excel and Word
  • Ability to manage multiple tasks in a fast-paced environment
  • Excellent written and verbal communication skills
  • Strong prioritization and problem-solving abilities
  • Good research skills and meticulous attention to detail

Preferred:

  • 3-5 years of experience in the construction sector
  • An associate degree or equivalent combination of education and experience
  • 2+ years of experience with California state prevailing wage regulations
