Job Opportunity
Slap Shot Contracting is seeking an Office Administrator to join our team. As an administrative assistant, you will be responsible for supporting the office operations and ensuring seamless communication with clients and stakeholders.

Key Responsibilities:
  • Manage incoming calls and digital appointment requests, directing clients to the appropriate personnel.
  • Update client information in the customer portal and ensure accurate records throughout the project phases.
  • Create and distribute work orders, agreements, and change orders via construction software.
  • Input job costs and status updates into construction software during each project phase.
  • Maintain estimating software with updated data and roof drawings.
  • Process invoicing and collections, as well as receiving and inputting payments into construction software.
  • Coordinate financing arrangements with third-party finance companies.
  • Organize QuickBooks files and maintain a list of supplier materials.
  • Ensure insurance companies have necessary documents throughout the project process.
  • Assist with weekly payroll and verify updated W-9s and COIs for sub-contractors.

Requirements:

  • High School Degree or equivalent required.
  • Minimum 4 years of experience as an administrative assistant, preferably in the construction industry with knowledge of CRM and Xactimate software.
  • Proficient in Microsoft Office, Excel, Word, and PowerPoint.
  • Prior experience with QuickBooks a plus.
  • Able to work independently in a multi-office setting and balance multiple tasks in a fast-paced environment.
  • Strong customer service and communication skills, with valid driver's license.
