Position Overview:

We are seeking a skilled Billing Supervisor responsible for overseeing all billing and collection processes within our practice. This role includes supervising a billing assistant and collaborating closely with both administrative and leadership teams. The Billing Supervisor will maintain professional relationships with therapists and the President/CEO to ensure efficient and accurate billing practices that contribute to the financial stability of the organization. This leadership role reports directly to the President/CEO.

Essential Qualifications:

  • Comprehensive understanding of insurance claims and payment procedures.
  • Proficient in computer and technology skills, including billing software, reporting tools, and Microsoft Office Suite.
  • Strong written and verbal communication abilities.
  • Exceptional mathematical and accounting skills.
  • Proven supervisory capabilities with experience in training and leading staff.
  • Outstanding customer service skills.
  • High level of organizational skills with the ability to manage multiple tasks and maintain attention to detail.
  • Effective problem-solving skills.
  • Current knowledge of mental health coding, compliance, and billing practices.
  • Able to integrate well with the Wellness Institute of Michigan team.

Key Responsibilities:

  • Ensure compliance with confidentiality and HIPAA regulations, ICD-10, and DSM V standards.
  • Supervise daily cash postings, checks, and electronic fund transfers from patients and insurance providers.
  • Guarantee timely and accurate processing of claims.
  • Utilize insurance platforms to verify patient eligibility and benefits, providing training to front staff and billing assistants.
  • Develop, update, and implement billing policies and procedures to ensure consistency across the organization.
  • Manage the receipt and processing of 835 files.
  • Address and resolve claim denials or payment issues with insurance companies through various communication methods.
  • Assist therapists in troubleshooting claim creation issues and resolving missing encounters.
  • Balance daily deposits and postings.
  • Oversee the distribution of paper and electronic statements to patients weekly.
  • Respond to patient billing inquiries via phone or email.
  • Generate regular reports to monitor account aging, refunds, denials, unresolved claims, and collections.
  • Facilitate payment plans for patients when necessary.
  • Train and supervise the billing assistant to ensure adherence to organizational standards.
  • Prepare and submit financial spreadsheets to accountants.
  • Conduct regular meetings with the President/CEO to discuss the financial health of the practice.
  • Participate in weekly leadership meetings with key administrative and clinical staff.

Additional Responsibilities:

  • Manage employee health, vision, and dental benefits, maintaining participation records.
  • Maintain relationships with the employee benefit agency.
  • Assist with payroll and other financial projects as needed.
