Position Overview

The primary objective of this role is to oversee the order fulfillment process, ensuring effective claims resolution and fostering strong customer relationships. As the main point of contact for customers, this position plays a crucial role in coordinating orders and facilitating communication across various internal departments, including Sales, Operations, and Logistics.

Key Responsibilities

  1. Receive and verify customer purchase orders, ensuring accuracy and alignment with provided quotes.
  2. Manage the entry of future orders into the ERP system, adhering to backlog guidelines.
  3. Assign appropriate shipping dates based on production schedules and transportation methods.
  4. Issue order amendments to reflect any changes requested by customers or internal teams.
  5. Maintain comprehensive project files for active orders, documenting all modifications.
  6. Conduct follow-up activities to clarify orders and resolve any issues that arise.
  7. Facilitate the resolution of claims and document complaints in the tracking system.
  8. Provide regular updates on backlog and inventory status.
  9. Collaborate closely with Outside Sales Representatives to ensure a cohesive approach to customer management.

Qualifications

Minimum Requirements:

  • High School Diploma or GED.
  • Two years of customer service experience or equivalent industry exposure.
  • Familiarity with ERP systems.

Preferred Qualifications:

  • Bachelor's degree or three additional years of relevant experience.
  • Experience in customer service within a construction or manufacturing environment.
  • Knowledge of SAP Software or similar systems.

Key Competencies:

  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficient in Microsoft Office Suite.
  • Ability to work collaboratively with cross-functional teams.

Working Conditions:

This role involves significant client interaction and may require hosting clients or engaging with senior executives. Computer usage is a primary component of the job, necessitating attention to detail and effective multitasking.
