Job Summary

The Safer Foundation is seeking a highly skilled and experienced Executive Project Manager to provide high-level project management, executive support, and administrative assistance to the Chief Administrative Officer and Chief Legal Officer.

This is a pivotal role that combines strategic project management with executive support to ensure the seamless operation of the executive offices, overseeing complex projects and initiatives while managing day-to-day administrative tasks.

Key Responsibilities
  • Provide high-level project management and executive support to the CAO and CLO
  • Oversee complex projects and initiatives, ensuring timely completion and high-quality results
  • Manage day-to-day administrative tasks, including document preparation, calendar management, and travel arrangements
  • Develop and maintain Excel spreadsheets to support organization-wide initiatives
  • Monitor and manage organizational documents, including traffic documents, check and ACH payments, contracts, invoices, and employment requisitions
  • Provide support for Investment, Audit, and Risk Committee meetings, including preparing minutes and facilitating efficient communication
  • Prepare professional presentations for the Board of Directors and Executive team
  • Assist in the development of business plan presentations and prepare materials for monthly and quarterly Board meetings
  • Project manage for Accounting and Property Management Initiatives, ensuring alignment with affordable housing objectives and regulatory requirements
  • Assist in tracking budgets and financial reports for the Property Management Department and Accounting Departments
  • Act as a liaison between the Accounting Department for the CAO and the Property Management Department for CLO, internal teams, and external partners
  • Streamline administrative and operational processes within the Accounting and Property Management Departments
  • Prepare and maintain project documentation, status reports, and presentations for internal and external stakeholders
  • Support tenant communication efforts, including assisting with notices and other documents
  • Organize and coordinate meetings between the CAO, CLO, and other key stakeholders
  • Effectively act as a liaison with other departments and outside agencies
  • Monitor CAO's emails and reply to emails as necessary
  • Conduct all interactions with Safer's staff, the CAO and CLO direct-reports, and external stakeholders in a highly professional manner
Requirements
  • Bachelor's degree in a related discipline or equivalent and relevant years of experience
  • Previous successful administrative experience required
  • Prior successful administrative experience to a high-level executive with numerous direct reports, preferred
  • Excellent business writing, editing, and proof-reading skills
  • Ability to communicate both orally and in writing
  • Experience working with and providing administrative assistance to a high-level executive with numerous direct reports
  • Excellent organizational, interpersonal, time management, and prioritization skills
  • Advanced knowledge of secretarial and office administrative procedures
  • Thorough and advanced knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software
