Reports to: Vice President, Event Production and Hospitality

Location: AEG

Objective: Support the execution of various event and hospitality projects.

Eligibility: Candidates must be entering their junior or senior year in college and must undertake the internship for academic credit. This position is unpaid.

Primary Responsibilities:
  • Develop compelling event and hospitality proposals utilizing software such as PowerPoint, Photoshop, and Word under the guidance of the Director of Events.
  • Prepare detailed event briefs, distinguishing clearly between proposals and briefs, also using PowerPoint, Photoshop, and Word.
  • Design and oversee effective floor plans for events.
  • Compile and manage guest lists to streamline initial outreach, monitor responses, send reminders, and update program partners through Excel and Formstack.
  • Establish and maintain a comprehensive Run of Show (ROS) for events.
  • Conduct online research to identify industry trends, venues, and necessary supplies or gifts.
  • Assess program requirements and source supplies while adhering to budget constraints, managing receipts, usage, and inventory.
  • Provide on-site support during events, including setup, breakdown, admissions, registration, vendor coordination, and all tasks related to event execution.
  • Supervise event day volunteers.
  • Perform various administrative duties such as copying, proofreading, and mailing.
