ROLE SUMMARY:
The
PROPERTY OPERATIONS SUPERVISOR is fully responsible for all aspects of property management.

The aim of the
PROPERTY OPERATIONS SUPERVISOR is to efficiently manage and coordinate personnel, activities, and available resources to achieve property objectives as established by the property supervisor and property owner.

These objectives will encompass maximizing occupancy rates and enhancing property values.

Additionally, the
PROPERTY OPERATIONS SUPERVISOR will mentor the assistant manager to take over all responsibilities in the absence of the supervisor.


KEY RESPONSIBILITIES

Conduct all operations in accordance with company policies and procedures, Fair Housing regulations, Americans with Disabilities Act, Fair Credit Reporting Act, and all other applicable laws related to property management.


FINANCIAL MANAGEMENT

  • The supervisor is accountable for adhering to the established budget throughout the fiscal year.
  • Ensures timely collection and posting of all rents. Immediate bank deposits are mandatory, and daily reports of deposits must be submitted to the corporate office.
  • Handles evictions, utility disconnections, and landlord liens as necessary for overdue rents.
  • Maintains ongoing communication with vendors and contractors regarding work schedules, billing, vendor relations, and insurance certificates. The supervisor is responsible for approving and submitting all invoices for payment to the corporate office.

PERSONNEL MANAGEMENT

  • Recruits, terminates, trains, motivates, and oversees all on-site personnel to achieve operational objectives for the assigned property. This includes onboarding new employees, conducting annual performance evaluations, reviewing and approving timesheets, and guiding on-site staff on employee procedures and policies.
  • Facilitates continuous training for office staff on leasing documentation, workplace safety, and any other necessary training on a daily basis.

ADMINISTRATIVE FUNCTIONS

  • Responsible for understanding the application, lease, and all relevant property code laws.
  • Stays updated with any changes to the applicable lease forms and related documentation.
  • Ensures that lease files are complete and accurately executed.
  • Responsible for the timely opening of the office and maintaining the condition of the office and model apartments.
  • Participates in scheduled corporate management meetings, typically held quarterly.
  • Keeps detailed records of all management activities on a daily, weekly, and monthly basis, submitting required reports to the corporate office.
  • Communicates any challenges affecting property operations to the AVP promptly.
  • Ensures that all calendar activities are executed in a timely manner to meet deadlines.
  • Ensures that all necessary permits are current at all times.

RESIDENT ENGAGEMENT

  • Maintains a positive customer service approach.
  • Delegates or conducts inspections with residents during move-in/move-out processes.
  • Reviews all notices to vacate to understand the reasons for tenant departures.
  • Initiates and implements policies to enhance resident communication, including addressing complaints and service requests.

MAINTENANCE OVERSIGHT

  • Conducts daily inspections of the property; vacant units must be checked weekly to ensure appropriate conditions and security.
  • Updates the Make Ready Board daily and coordinates with maintenance staff to ensure timely readiness of apartments post-move-out.
  • Monitors and schedules all maintenance activities.
  • Inspects the Maintenance Shop monthly to ensure compliance with company policies.

MARKETING AND LEASING

  • Delegates or conducts monthly market surveys and remains aware of competitive market conditions.
  • Maintains awareness of industry trends through trade publications and professional organizations.
  • Completes a quarterly Marketing Plan.
  • Delegates or conducts weekly outreach marketing efforts.
  • Achieves weekly leasing goals.
  • Welcomes and showcases the property to prospective residents and manages incoming inquiries.
  • Approves all rental applications and signs all lease documents.

SAFETY AND TRAINING

  • Reports all incidents to the Corporate Office immediately and ensures all occupational injury claims are reported promptly.
  • Conducts monthly safety meetings and completes Safety Checklists with maintenance staff.
  • Completes all required training courses by the specified deadlines.

GENERAL REQUIREMENTS

  • Performs any additional duties or tasks as assigned by the AVP.

QUALIFICATIONS
Position requires relevant experience in property management. A background in supervision and a proven track record of achievements are essential.

TECHNICAL SKILLS:
Proficient in word processing and property management software (must be skilled with basic calculations).

WORKING HOURS:

40 hours per week or as required by property needs. Availability on weekends for staffing and emergencies is necessary.

PHYSICAL DEMANDS

  • Ability to alternate between standing, walking, or sitting based on daily requirements.
  • Occasional need to perform physical activities such as bending, climbing stairs, and pushing/pulling.
  • Frequent need to engage in standing and walking activities related to property inspections.
  • Constant need for reading, writing, and communication tasks.

WORK ENVIRONMENT

  • Primarily indoors, with frequent outdoor exposure in various conditions.
  • Occasional exposure to hazardous materials.

REASONING ABILITY

  • High level of reasoning ability required to identify problems, gather relevant data, and initiate appropriate actions.
