Position Overview

Title: Client Relations Supervisor

Reports to: Director of Operations

Overview: The Client Relations Supervisor is responsible for ensuring the delivery of high-quality services and maintaining customer satisfaction within VRC Companies. This role will oversee a team of client service representatives, acting as the primary point of contact for all client inquiries, whether they pertain to orders, feedback, or issues. The supervisor will be tasked with ensuring adequate staffing levels in a dynamic business environment while fostering an exceptional customer experience for both current and prospective clients.

Key Responsibilities:

  • Identify and address issues, escalating them to management when necessary.
  • Ensure optimal staffing levels, manage employee hours within designated targets, train and inspire team members, and conduct performance evaluations.
  • Assign tasks and oversee the successful completion of these tasks by data entry personnel.
  • Communicate effectively with team members regarding updates in policies, procedures, and other relevant information.
  • Deliver courteous and attentive service to all client needs, projecting a professional and positive image of the company.
  • Resolve and manage all client-related issues.
  • Engage with clients in person, via telephone, and through electronic communication.
  • Coordinate special requests from clients as needed.
  • Follow up with clients and vendors as required.
  • Process phone orders and manage uploads.
  • Perform additional tasks as necessary.

Required Competencies:

  • Strong attention to detail and organizational skills to meet deadlines.
  • Excellent organizational, interpersonal, and communication abilities.
  • Effective problem-solving skills.
  • Able to work collaboratively in a team environment as well as independently.
  • Proficient writing skills.
  • Familiarity with technology, particularly Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word.

Work Environment: Must be able to adapt to varying temperatures, including heat in summer and cold in winter.

Physical Requirements: While performing the duties of this position, the employee is frequently required to stand and walk. Occasionally, the employee may need to sit, climb, balance, stoop, kneel, or crouch. The role requires the ability to reach, handle, carry, and lift items weighing between 10 lbs. and 50 lbs. Regular communication, including talking, hearing, reading, and identifying numbers for accurate order processing, is essential.

Qualifications:

  • High School Diploma or equivalent.
  • Proficient in written and spoken English.
  • A minimum of 2 years of supervisory experience in a client service environment.
  • Willingness to maintain a flexible schedule, including availability for on-call duties during evenings, weekends, and holidays.
  • Highly organized and responsible.
  • Self-motivated individual.
