Position Overview

The Receptionist plays a crucial role in managing front desk operations, which includes answering incoming calls, directing them to the appropriate staff, and welcoming visitors. This position also serves as a front-line security measure, overseeing badge access and issuance, as well as monitoring site cameras for any suspicious activities and reporting them to management.   • Greet on-site visitors to ascertain the purpose of their visit and notify the relevant personnel.
  • Oversee visitor access and issue visitor badges as necessary. Receive incoming subpoenas and inform the appropriate staff.
  • Maintain accurate visitor logs and calendars, documenting all badges issued and returned.
  • Conduct temperature checks/screenings as required to ensure health and safety protocols for employee entry.
  • Handle incoming phone calls, assessing the nature of the calls, forwarding them to the right personnel, or taking messages as needed. Retrieve messages from the main company voicemail and relay them to the appropriate staff.
  • Organize and index documents both physically and electronically as instructed by the Legal and Production teams.
  • Continuously monitor security cameras and door alarms for any unusual activity and take appropriate action when necessary. Maintain a security log.
  • Perform basic administrative tasks such as copying, faxing, data entry, and filing.
  • Conduct daily and weekly audits of security badges and related materials.
Qualifications
  • High School Diploma.
  • 1-2 years of experience in a receptionist role, customer service, or a related clerical position.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Exceptional customer service and communication skills.
Preferred Qualifications
  • Associate's degree in Office Management, Security, Public Relations, or a related field.
  • Experience with monitoring security cameras.
  • Bilingual in Spanish.
