Experience and Training:

  • Background in customer service, particularly in multitasking environments (e.g., managing appointment scheduling while handling phone inquiries)
  • Experience in a dental or medical office is advantageous
  • Familiarity with electronic medical records is preferred
  • EPIC training is a significant asset, though not essential

Key Responsibilities:

Daily Administrative Tasks:

  • Monitor add-ons, complete registration checklists, and print care slips for all patients
  • Prepare for appointments at least three business days in advance, including:
    • Completing pre-registration workqueue
    • Reviewing dental eligibility forms for payment collections
    • Preparing treatment and visit estimates
    • Sending MyChart activation links
  • Review daily schedules and contact deactivated MyChart patients before their appointments
  • Generate and print Care Slip reports

Confirmation Processes:

  • Conduct one-week confirmation reminders
  • Make daily appointment confirmation calls until appointments are confirmed or canceled due to non-confirmation 48 hours prior

Schedule Management:

  • Utilize workqueues and reports to optimize scheduling
  • Review continuing treatment reports and appointment requests
  • Follow up on treatment plans, financial arrangements, and referrals
  • Manage patient check-in/out processes and collect necessary signatures
  • Process patient payments during service
  • Address claim errors and outstanding encounters
  • Lead morning huddles by sharing metrics and daily goals

Office Management:

  • Maintain a clean and organized front desk and lobby area
  • Order office supplies as needed
  • Process invoices and maintain confidentiality of patient information in compliance with regulations
  • Manage facility maintenance requests

Customer Service Excellence:

  • Welcome patients warmly and provide exceptional service
  • Ensure reception areas are well-stocked and organized
  • Assist new patients with MyChart activation and medical histories
  • Educate patients on office policies and services

Collaboration and Communication:

  • Act as a liaison between education teams and practice
  • Collaborate to develop outlines, resources, and activities
  • Advocate for practice team needs with education teams
