Job Summary

We are seeking a highly organized and detail-oriented Front Desk Receptionist to join our team at the Town of Jupiter Inlet Colony. As a key member of our administrative staff, you will be responsible for providing exceptional customer service, managing front desk operations, and supporting our clinic's administrative functions.

Key Responsibilities
  • Provide warm and welcoming service to patients, staff, and visitors, ensuring a positive experience for all.
  • Schedule appointments, reschedule appointments, and provide reminders of upcoming appointments, ensuring seamless communication with patients.
  • Facilitate patient referrals and admissions by collecting patient information via phone or in-person, ensuring accurate and timely processing.
  • Route telephone calls to the appropriate party, ensuring efficient communication and minimizing wait times.
  • Ensure patient demographic data is always current in all applicable systems, maintaining accurate and up-to-date records.
  • Coordinate patient referrals to external organizations, verifying eligibility and obtaining necessary authorizations.
  • Verify patient eligibility for services with insurance carriers, ensuring compliance with regulations and policies.
  • Obtain authorizations from insurance carriers and collect payments from patients where applicable, maintaining accurate financial records.
  • Ensure all applicable forms are signed by patients and uploaded to patient records, maintaining confidentiality and security.
  • Be a primary point of contact for patients and visitors' questions, providing answers directly or directing them to the right resource, ensuring exceptional customer service.
  • File electronic and paper documents, maintaining a organized and secure filing system.
  • Perform varied special projects of an administrative nature, supporting the clinic's goals and objectives.
  • Work collaboratively with the Administrative Assistant to ensure all administrative duties are covered, providing coverage for the Administrative Assistant role when necessary.
  • Perform other administrative duties as assigned by supervisory staff or as outlined within the Clinical Manual and its amendments or interim changes.
Requirements
  • High School Diploma or Associates/Bachelors degree (related experience will be considered in lieu of college degree).
  • At least two years of experience in a front desk/receptionist role is preferred.
  • Experience in a front desk role of a busy healthcare clinic is desired.
  • Demonstrate exemplary customer service skills, even when interacting with distraught individuals.
  • Must be computer-literate and have knowledge of Microsoft Office applications.
  • Must possess strong interpersonal skills, with the ability to work effectively with diverse populations.
  • Highly organized with an attention to detail, ensuring accuracy and efficiency in all tasks.
  • Fluency in Spanish is a plus.
