Construction Project Coordinator
SUMMARY
The Construction Project Coordinator collaborates closely with the construction project team on all facets of the bidding and building processes. This role necessitates the ability to adhere to deadlines, maintain a high level of detail and accuracy, and work effectively within a team, all while focusing on customer service.
ESSENTIAL DUTIES
Key responsibilities include, but are not limited to:
- Assisting in the creation and upkeep of essential documents such as bids, contracts, payment estimates, submittals, RFIs, change orders, meeting notes, schedules, and other items critical to the successful execution of a construction project.
- Updating forecasts and trackers for construction initiatives to support project management efforts.
- Generating various project reports as necessary utilizing Word, Excel, or other construction management systems.
- Overseeing the project submittals process across all projects.
- Coordinating with the Project Manager to ensure the timely delivery of project documentation, inspection logs, and RFI responses.
- Participating in construction progress meetings and preparing meeting minutes when required.
- Creating and managing payment estimates, change orders, insurance documents, permits, and other paperwork to facilitate the bidding and construction processes.
- Generating all bid bond requests, 1295s, and bid form worksheets as directed, ensuring a high level of accuracy and attention to detail.
SUPERVISORY RESPONSIBILITIES
This position does not have direct management responsibilities but may oversee the work of a small team.
REQUIRED EDUCATION AND EXPERIENCE
- A high school diploma is required; an associate degree is preferred.
- A minimum of three (3) years of experience in construction administration is required.
TECHNICAL SKILLS
- Proficient in MS Office, particularly MS Excel and Word.
- Possesses a comprehensive understanding of the bidding and construction processes to enhance value and efficiency for the company.
- Basic ability to read and interpret construction/design drawings.
- Demonstrates exceptional attention to detail and works with a high degree of accuracy.
- Experience with Bluebeam is preferred.

WORK ENVIRONMENT
This role primarily operates in a professional office setting and routinely utilizes standard office equipment such as computers, phones, and photocopiers. Occasional outdoor work may be required in varying weather conditions and on uneven terrain, with exposure to noise, dust, and fumes.
PHYSICAL DEMANDS
Must be able to see and work with computer monitors for extended periods and discern fine details. The role requires speaking, listening, walking, climbing stairs, driving, kneeling, twisting, stretching, and standing. Occasionally, heavier objects may need to be lifted or moved, and assistance should be sought for safety.
POSITION TYPE AND HOURS OF WORK
- This is a full-time position, with workdays typically scheduled from Monday to Friday, 8:00 a.m. to 5:00 p.m., with occasional weekend work as necessary.
