Faculty Affairs Coordinator Job Summary

We are seeking a highly organized and detail-oriented Faculty Affairs Coordinator to join our team at Case Western Reserve University. The successful candidate will be responsible for managing faculty appointment processes, including new appointments, reappointments, and promotion requests for School of Medicine faculty across all five campuses.

Key Responsibilities:
  • Manage junior-level faculty's appointment, reappointment, and promotion process, including new search, onboarding, and appointment requests.
  • Work closely with faculty, department chairs, and administrators to advise on university compliance requirements and processing timelines.
  • Ensure requests comply with university requirements and standards, and follow up with faculty members, chairs, and administrators as needed.
  • Identify appointment requests for submission to the dean's, provost's, and university's Board of Trustees reviews and approvals.
  • Update and maintain the Faculty Information System (FIS) and faculty databases for assigned departments or faculty members.
  • Coordinate training sessions for department chairs, administrators, and faculty affairs office staff on systems, processes, regulations, and timelines pertinent to faculty search and appointment procedures.
Requirements:
  • High degree of independence and discretion in managing faculty appointment processes.
  • Ability to work collaboratively and in a team environment with other Faculty Affairs coordinators.
  • Strong communication and interpersonal skills, with the ability to advise faculty, department chairs, and administrators on university compliance requirements.
  • Proficiency in using electronic faculty personnel files and maintaining confidentiality and sensitive information.

The Faculty Affairs Coordinator will work in a fast-paced environment with multiple deadlines and priorities. The successful candidate will be able to work independently and as part of a team, with a high degree of discretion and confidentiality.
