Position Summary:
The Manufacturing Administrative Assistant will play a crucial role in preparing and organizing engineering job packets according to the scheduled production dates. This position demands a keen eye for detail, exceptional organizational skills, and the capability to manage multiple tasks effectively. The successful candidate will ensure that all job packets are accurately compiled, filed, and readily accessible for the production team.
Key Responsibilities:
- Job Packet Preparation:
Systematically organize engineering job packets based on scheduled production dates. Print essential documents (Acknowledgements, Legends, Specifications, Drawings, etc.) for each job packet, ensuring all necessary documents are included and accurately filed. - Documentation and Filing:
Maintain and update records of job packets, ensuring all documentation is current and easily accessible to the production team. Assist in developing and maintaining filing systems for efficient retrieval of job packets. - Data Entry and Management:
Update job statuses and other pertinent information as required. - Communication and Coordination:
Engage with production staff to confirm job packet requirements and deadlines. Promptly communicate any discrepancies or issues regarding job packets to the appropriate personnel. Collaborate with fellow clerical associates to ensure seamless operations and workflow. - General Clerical Duties:
Handle phone calls, emails, and other communications related to job packet inquiries. Assist with various administrative tasks, including photocopying, scanning, and mailing documents. Maintain an inventory of office supplies for the production team.
Qualifications:
To excel in this role, candidates must meet the following requirements:
- High school diploma or equivalent (GED); or one to three months of related experience and/or training; or a combination of education and experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills, with excellent attention to detail and accuracy.
- Effective verbal and written communication skills.
- Able to work independently and collaboratively within a team.
Physical Demands:
The physical demands of this position require regular use of hands for tasks such as handling documents and communicating verbally. The employee may frequently stand, walk, and sit, and occasionally lift or move up to 10 pounds. Specific vision abilities required include close vision.
Work Environment:
The work environment is typically moderate in noise level, conducive to performing essential functions effectively.
