Job Summary

This is a general office support position that requires a wide range of routine clerical and administrative duties. The ideal candidate will have a high school diploma or equivalent and one year of experience in a general office environment.

Key Responsibilities:

  • Take, refer, and handle incoming messages
  • Maintain manual and computer files
  • Prepare and/or type reports, records, and correspondence
  • Order and maintain an inventory of general office supplies
  • Greets visitors and receives and responds to inquiries
  • Answers telephones and operates switchboard
  • Creates labels, memos, departmental phone lists, purchase orders, requisitions, and requests for vouchers
  • Assists with the preparation of departmental duties and schedules events and programs
  • Maintains various files, makes copies, scans, and faxes documents, and makes appointments as necessary
  • Collects, opens, time stamps, and distributes mail
  • May collect payments for various services and/or fines

Requirements:

  • Knowledge of departmental policies and procedures
  • Knowledge of basic office and general clerical practices and procedures
  • Skill in operating current, standard office equipment
  • Skill in organizing and maintaining filing systems
  • Ability to handle multiple interruptions and adjustments to priorities throughout the day
  • Ability to use tact and diplomacy in dealing with the general public and employees of various county offices
  • Ability to understand and carry out oral and written instructions
  • Ability to accurately record and transfer data from one source to another, and maintain strict confidentiality
