Our office is located in the historical Bradford Mill alongside a community of start-ups and artists.
The Opportunity:
As our Executive Support Specialist, your primary focus will be on handling daily tasks crucial for the CEO and leadership team's productivity. You will also be involved with communication between key people, organizing and pushing projects forward. You will play a key role in ensuring smooth operations by organizing information, conducting necessary research, and providing general administrative support to team members. The ideal candidate will exhibit sound judgment and discretion, with a flawless record of confidentiality while working with a creative, fast-paced, and future-thinking executive.
Key Responsibilities:
- Support various administrative and organizational needs of the CEO to ensure efficiency and productivity, including calendar management, scheduling meetings, note taking, travel arrangements, and expense tracking
- Meet daily with the CEO to outline the work of the day, along with any upcoming questions or issues. Provide materials for upcoming meetings or projects in a timely fashion so the CEO is adequately prepared
- Serve as a liaison between the CEO and internal/external stakeholders, facilitate communication and foster positive relationships across the company
- Support the CEO in strategic initiatives, special research projects, and general planning activities
- Assist in the hiring and onboarding process by scheduling interviews, ordering hardware and setting up software access
- Order and maintain office supplies
- Assist in the planning and execution of events
- Other administrative office duties, as assigned
- Bachelor's degree or equivalent
- 5-10 years of experience in an executive assistant or similar role
- Experience in a startup environment is a strong plus
- Proficiency in Google Suite (gmail, calendar, etc), Slack, and IOS operating systems
- Experience with Notion a plus
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively
- Strong attention to detail and accuracy in all work
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels
- Impeccable dependability, trustworthiness, and discretion, especially regarding highly sensitive/confidential materials and information
- Ability to anticipate needs, take initiative, and solve problems independently
- Flexibility and adaptability to work in a fast-paced and dynamic environment
