Position Summary:

We are on the lookout for a meticulous Accounts Payable Coordinator to support our accounts payable team and ensure smooth operations. This role, reporting to the Financial Controller, is vital in refining and enhancing the payables workflow, guaranteeing prompt and precise payments to our vendors and partners.

The primary responsibility of the Accounts Payable Coordinator is to deliver outstanding support to the various departments we serve, while demonstrating a strong work ethic and the capability to prioritize tasks efficiently. The ideal candidate will possess prior experience in accounts payable, advanced Excel skills, exceptional customer service abilities, and a solid grasp of accounting principles.

Key Responsibilities:

  • Vendor Relations: Establish and maintain trustworthy relationships with our carriers, managing communications via phone and email to confirm load rates, remit addresses, and resolve any issues related to shipments.
  • Audit Procedures: Review Proof of Delivery (POD) documents for carrier notations regarding overages, shortages, and damages.
  • Documentation Management: Input necessary data and forward all relevant documentation to the Claims Manager.
  • Full Cycle Processing: Engage in the complete cycle of accounts payable for carrier invoices.
  • Invoice Management: Ensure the receipt, scanning, verification, and updating of carrier load documents and invoices as required.
  • Payment Verification: Confirm the correct application of carrier advances and associated fees.
  • Invoice Review: Receive and validate invoices, check requests, and expense reports.
  • Payment Monitoring: Oversee accounts to ensure timely vendor payments and minimize the risk of late fees.
  • Discrepancy Resolution: Identify, investigate, and resolve any invoice discrepancies.
  • Additional Tasks: Perform other duties as assigned.

Qualifications:

  • Associate's degree in accounting, finance, or a related field is preferred but not mandatory.
  • A minimum of 5 years of relevant experience in an accounts payable role.
  • Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines.
  • Experience in logistics is preferred.
  • Demonstrated advanced analytical skills.
  • Ability to collaborate effectively with colleagues and possess excellent interpersonal skills.
  • Outstanding written and verbal communication abilities.
  • Advanced proficiency in Excel (including PivotTables and VLOOKUP) and Word for analysis and business correspondence.
  • Knowledge of transportation industry regulations is preferred but not required.
  • Experience with Turvo is a plus but not essential.
