JOB SUMMARY:
The Patient Care Coordinator is tasked with ensuring that patients' insurance details are accurately confirmed and that necessary authorizations are secured prior to appointments, facilitating a seamless visit experience. Additionally, this role encompasses managing medical record requests and conducting quality assurance on progress notes for the designated healthcare provider.
QUALIFICATIONS/EDUCATION:
- High School Diploma or equivalent is required.
- Bi-lingual proficiency in English and Spanish is preferred; must be capable of reading, writing, and speaking in English.
- A minimum of 5 years of relevant experience in a healthcare environment is preferred.
- Exceptional interpersonal skills.
- Proficient data entry capabilities.
- Meticulous attention to detail.
- Quality of work must be precise, comprehensive, and completed promptly.
- Strong organizational abilities and capacity to manage multiple tasks effectively.
- Demonstrates proficiency in using personal computers and various software applications necessary for performing job responsibilities, including Electronic Health Records and authorization systems, with minimal typing or spelling errors.
CERTIFICATIONS/LICENSES:
- Medical Assistant Certification is preferred.
ABILITIES/SKILLS:
- Basic computer skills to navigate and comprehend the EMR System.
- Excellent communication, customer service, and telephone skills.
- Strong organizational skills and the ability to manage multiple tasks effectively.
- Ability to work independently with minimal supervision in a dynamic environment.
- Must maintain patient confidentiality at all times and adhere to HIPAA regulations.
- Dependability and professionalism are essential.
- Proficient in using personal computers and various applications necessary for executing job duties.
- Ability to follow established policies and procedures.
SUPERVISORY RESPONSIBILITIES:
- N/A
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Responsible for obtaining patient referrals and/or authorizations well in advance of office visits and informing patients of any deductible or co-pay obligations.
- Accurately registers or updates patients' insurance information in the EMR system.
- Ensures that every patient's insurance is active and verifies participation with our practice.
- Reviews patient deductibles and/or co-pays and updates patient records accordingly.
- Obtains referrals and/or authorizations through the insurance portal or by contacting the insurance company.
- Assists patients with inquiries or concerns, ensuring their expectations are met.
- Collaborates closely with the front desk to ensure accurate billing practices.
- Follows up on callbacks before the end of the workday.
- Conducts quality assurance on progress notes for the assigned provider.
- Manages the monthly recall list for patients who have not been seen in the past 3-5 years.
- Sorts faxes and processes medical records requests.
- Scans documents, including pathology reports, to the ordering physician.
- Assists with special projects as required.
- Completes assigned tasks in a timely manner.
- Handles phone calls and schedules/reschedules appointments as necessary.
- Conducts all activities in a professional, courteous manner while adhering to company policies and procedures.
- Performs any other duties as assigned by management.
