The Lead Medical Support Supervisor (MSS) acts as the primary overseer for Senior MSS, Advanced MSS, and MSS within the Health Administration Division.
The Lead MSS undertakes support functions that enhance the efficiency of healthcare providers, including physicians, physician assistants, nurses, and other healthcare professionals involved in patient care, while also contributing to the administrative tasks associated with patient treatment and care.

Responsibilities
- Oversee Human Resource functions within service operations, including recruitment, disciplinary measures, and Labor/Management relations. Manage resource allocation, assess staffing requirements, space utilization, and technology needs along with corresponding resource requests.
- Develop performance objectives and conduct performance assessments; make recommendations for hiring, awards, promotions, and ensure thorough vetting of new hires. Monitor staff competencies and maintain competency documentation in compliance with regulatory standards while identifying ongoing education and training requirements.
- Exhibit strong interpersonal skills and conflict resolution capabilities. Ensure adherence to Equal Employment Opportunity guidelines within the Service.
- Supervise and guide a diverse team of MSS staff, engaging in collaborative problem-solving; design, implement, and assess enhancements to operational processes while identifying ongoing training needs. Promote teamwork and team-building initiatives within the Service and across other departments.
- Manage all aspects of daily clinic operations, ensuring timely processing of referrals, provision of treatments, and completion of documentation in accordance with established policies.
- Provide expert oversight and consultation to MSS staff, evaluating complex procedures with a high degree of autonomy. Develop and implement innovative processes while offering guidance to MSS personnel.
- Collaborate with medical staff through patient presentations, clinics, and consultations.
- Continuously assess the effectiveness of ongoing improvement initiatives and recognize the necessity for new programs. Upon identifying the need for new initiatives, the incumbent will develop and launch new treatment programs based on current research findings.
- Monitor inventory, forecast equipment and supply needs for treatments, and submit requests as necessary.
- Ensure the safe operation of the clinic, maintaining a secure environment, and ensuring cleanliness of the work area and equipment.
- Possess in-depth knowledge of the organization and Service to effectively respond to inquiries, resolve issues, and identify discrepancies in scheduling or order fulfillment. Utilize extensive guidelines, manuals, and regulations to adapt to specific situations as needed.
- Responsible for data collection and validation, ensuring timely correction of encounter errors and appointment wait time discrepancies. Set goals, assign and review tasks, establish deadlines, and take corrective actions as necessary.
Work Schedule: Full Time, 40 hours per week. Specific schedule to be discussed during the interview.

Conditions of Employment

Basic Requirements:
- U.S. Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens.
- English Language Proficiency: Must be proficient in spoken and written English.
- Experience: Six months of experience in clerical, office, customer service, or administrative roles demonstrating the ability to acquire necessary knowledge and skills; OR,
- Education: One year of education beyond high school; OR,
- Experience/Education Combination: Equivalent combination of experience and education qualifies for entry-level positions.
Grade Determinations: Applicants must meet the following grade requirement for the Lead Medical Support Supervisor position. They must have one year of experience equivalent to the GS-7 grade level and demonstrate the following competencies:
i. Ability to perform comprehensive administrative and supervisory duties for at least one subordinate MSS supervisor or team leader in a patient support environment, including work assignment, performance evaluations, staff selection, and recommendations for awards and promotions.
ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external stakeholders to ensure quality care and compliance with established policies.
iii. Ability to conduct briefings, orientations, staff development, and training in a patient support context.
iv. Ability to manage financial matters, forecast resource needs, and identify budget requirements.
v. Advanced knowledge of managing or leading patient support staff in a clinical setting, utilizing reference sources, decision-making, and empowering the team to collaborate and resolve issues within a complex systems environment.
Physical Requirements: The role is primarily sedentary, involving prolonged periods of sitting, moderate lifting, carrying, pushing, standing, reaching, and the ability to read and hear without strain.
