Job Title: Facilities and Shipping Specialist

Job Summary:

This role is responsible for managing facilities, shipping, and receiving operations. The ideal candidate will have experience in maintenance, shipping, and receiving, as well as knowledge of international freight requirements.

Key Responsibilities:

  • Manage facilities, shipping, and receiving operations to ensure efficient and cost-effective processes.
  • Stay up-to-date on all shipping industry regulations and standards, including USPS, UPS, DHL, and FedEx.
  • Determine the best method of shipment based on cost, deadline, and value, and complete customs declaration forms as required.
  • Process outgoing parcels through computerized shipping systems in a timely manner, and package loose materials received from staff.
  • Maintain inventory of meter machine supplies, shipping system supplies, and shipping carrier supplies, including ordering and purchase order completion.
  • Verify accuracy of incoming shipments by comparing identifying information and counts to packing slips, bills of lading, invoices, orders, or other records.
  • Manage international customs, duties, and bond-house clearing, and address customs issues regarding package delay and take corrective action.
  • Maintain necessary shipping documentation files to track missing and/or damaged parcels, and confirm delivery or submit insurance claims against damaged packages.
  • Assist in creating policies and procedures for shipping, receiving, and mail operations.
  • Maintain and secure in-house auction item inventory.
  • Maintain shipping system databases and run daily shipping and mail reports.
  • Collect and distribute inbound and outbound mail/parcels to the proper department/employee during scheduled "mail runs".
  • Deliver mail to the post office at the end of the day via company or personal vehicle, if needed.
  • Provide information on necessary equipment and supplies for preparation of the departmental budget, and make recommendations to streamline expenses and processes.
  • Develop and maintain preventative maintenance schedules for all mechanical equipment and systems, and arrange for service.
  • Oversee service and supply contracts and vendor relationships.
  • Perform other related duties as assigned.

Requirements:

  • Broad experience in maintenance, shipping, and receiving, and knowledge of international freight requirements.
  • High School Diploma or equivalent, and 7 years of experience in a related field.
  • Valid driver's license and insurability under the company insurance policy.
  • Certified forklift driver.
  • Motivation and strong desire to take on new challenges and learn as much as possible.
  • Excellent communication skills, attention to detail, organizational skills, and exceptional customer service.
  • Project management and contract negotiation skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Knowledge of database, word processing, spreadsheet software, and order processing systems.
