This role is pivotal in supporting the Event Sales Director in all facets of selling, planning, and coordinating private events and meetings hosted at the club, aiming to meet the annual private event sales objectives.
KEY RESPONSIBILITIES
- Develop and maintain a robust prospect inventory, ensuring consistent engagement with existing clients while also attracting new clientele.
- Assist the Private Events Director in consultations with clients to ascertain their requirements.
- Network both within and outside the club to generate leads and cultivate relationships with new and existing clients.
- Collaborate with the Private Events Director and Executive Chef to create appealing and competitive private event menus tailored to client preferences.
- Organize and maintain comprehensive files for the Private Events Director, ensuring all contracts are signed and necessary deposits and payments are collected in accordance with accounting policies.
- Manage accounts for recurring weekly and monthly events, ensuring adherence to policies and satisfaction levels for members and guests.
- Aid the Private Events Director with administrative tasks, including accurate tracking of expenses related to the Private Event Department within financial guidelines.
- Oversee daily coordination of private events, including final guest counts, signatures, payments, audio-visual orders, and distribution of banquet event orders.
- Supervise event execution on the day of the event, collaborating with the food and beverage team to ensure seamless operations.
- Provide assistance to fellow team members, Members, and guests, ensuring the delivery of exceptional service without needing direction.
- Gain proficiency in the CaterPro computer system, ensuring all banquet sales in MICROS are accurate and reconciled with CaterPro regularly.
- Attend all mandatory Food and Beverage Meetings and Employee Partner Meetings.
- Be present in the club during peak hours, greeting Members and guests at private functions and relevant club events.
- Support internal prospecting and marketing initiatives, including programs for New Members, Member Milestones, Members at Large, and Member Guests, ensuring they are executed consistently.
- Collaborate with Marketing, the Event Sales Director, and Regional Private Event Director on promotional materials and private event content for the club's website and social media platforms.
- Respond to all inquiries and RFPs within 24 hours, identifying needs, scheduling site tours, and creating an exceptional sales experience to drive revenue.
- Make a minimum of 15 outgoing cold calls weekly.
- Due to the variable demands of club operations, you may be required to perform various functions; therefore, it is essential to assist others when needed, just as you can expect assistance in return.
- Adhere to all company, club, and departmental operational standards, policies, and procedures.
- Demonstrate effective teamwork.
- Follow all service department, club, and corporate guidelines as directed by supervisors.
- Maintain a professional appearance for yourself and all private event staff.
- Ensure safe working practices in all areas and promote safety among others.
