Job Summary

The New York State Department of Health is seeking a highly skilled and detail-oriented Program Aide to join our team. As a Program Aide, you will provide administrative support to the Bureau of Employee Relations (BER) - Human Resources Management Group. Your primary responsibilities will include intake, tracking, and triage of referrals of workplace violence, misconduct, incompetence, contract and non-contract grievances.

Key Responsibilities
  • Develop and maintain databases to track and analyze referrals
  • Engage the appropriate escalation strategy dependent upon circumstances following review and analysis
  • Assist with the purchasing of goods and services as it pertains to Labor Relations and ensure consistency with applicable guidelines
  • Assist with drafting, compiling, and review of Bureau recruitment materials, including duties description and other related materials in accordance with applicable procedures and requirements
  • Perform preliminary collection and review of hiring documents
  • Assist in preparation activities for labor management meetings, which includes conducting research and analysis on applicable laws, rules, and regulations, including the Collective Bargaining Agreements and Department Policies
Requirements

To be successful in this role, you will need to have a high school diploma or high school equivalency diploma, and three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment. Certification (e.g., IAAP Certified Administrative Professional) or an associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

You should also have excellent communication (both written and oral) and organizational skills, as well as the ability to maintain a professional demeanor while interacting with a diverse population in a fast-paced environment with highly sensitive subject matter.
