The Executive Support Specialist operates onsite at the Northville, MI facility, delivering exceptional administrative assistance to multiple Vice Presidents. This role encompasses managing schedules, organizing travel logistics, and executing various administrative functions to support executive leadership. A minimum of three days per week onsite presence is required, with flexibility for additional days as necessary.

KEY RESPONSIBILITIES:

  • Oversees Outlook Calendar management, schedules meetings, and coordinates travel and accommodations for the Vice Presidents, both internationally and domestically.
  • Administers expense reporting systems on behalf of the Vice Presidents.
  • Participates in all staff meetings (either with or on behalf of the Vice Presidents) and documents meeting discussions.
  • Records and maintains accurate meeting minutes.
  • Acts as a representative for leaders during their absence, managing all incoming matters.
  • Conducts various administrative tasks, including drafting letters, memos, invoices, reports, PowerPoint presentations, and other documentation.
  • Handles incoming communications (mail, e-mail, fax, etc.) for the team, summarizing and distributing as necessary.
  • Maintains organized records and manages supply orders.
  • Undertakes additional responsibilities as assigned and engages in special projects as required.

EDUCATIONAL REQUIREMENTS: An Associate's Degree is mandatory, while a Bachelor's Degree is preferred.

SKILLS & EXPERIENCE:

  • A minimum of 5 years of experience in providing administrative support to executive-level professionals.
  • Demonstrated ability to respond swiftly and effectively in a dynamic, high-pressure work environment.
  • Proficient in understanding and engaging with diverse groups and cultures.
  • Exceptional organizational skills with a keen attention to detail.
  • Strong time management capabilities, adept at juggling multiple tasks and meeting deadlines.
  • Excellent verbal and written communication skills.
  • Comprehensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Highly proficient in Microsoft Office Suite or similar software, with a capacity to learn new or updated applications.
