Key Responsibilities:
- Operational Management: Supervise daily office activities, including the management of administrative personnel to guarantee efficient task completion.
- Facility Oversight: Oversee office facilities, including space management, maintenance, and procurement of supplies to create an optimal work environment.
- Policy Development: Formulate and implement office policies and procedures to maintain an organized and efficient workplace.
- Scheduling Coordination: Organize and manage meetings, appointments, and events for staff and clients as required.
- Communication Facilitation: Act as the primary point of contact for internal and external communications, addressing inquiries and managing correspondence.
- Inventory Management: Oversee office supply inventory, ensuring timely orders and cost-effective procurement practices.
- Vendor Management: Collaborate with vendors and service providers, ensuring contracts are upheld and services align with company standards.
- Financial Oversight: Assist in budget formulation, monitor expenditures, and track office-related financial activities.
- Employee Onboarding and Offboarding: Manage the onboarding process for new hires, including workspace preparation and training, as well as the offboarding process for departing staff.
- Record Maintenance: Ensure accurate recordkeeping of office operations, contracts, and personnel documentation.
- Health and Safety Compliance: Uphold health and safety regulations, conduct safety drills, and implement emergency protocols.
- Technical Support: Work alongside IT personnel to address technological needs and troubleshoot equipment issues.
Qualifications:
- High school diploma or equivalent (Associate's or Bachelor's degree preferred).
- Demonstrated experience in office management or a comparable administrative role.
- Exceptional organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and office management applications.
- Strong communication and interpersonal skills.
- Effective problem-solving and decision-making capabilities.
- Detail-oriented with a commitment to maintaining an organized office.
- Leadership experience and supervisory skills.
- Knowledge of workplace health and safety standards.
- Trustworthy and ethical, capable of handling sensitive information with discretion.
