Position Overview

We are currently seeking temporary assistance for the role of Program Assistant, Oglala Lakota Artspace (OLA). This role will involve preparing for onsite events, assisting workshop facilitators with participant registration and data collection, supporting the hosting of Artists in Residence (AiR), and providing administrative support to Program Managers and the Associate Director of the OLA.

The OLA is the first dedicated art space located within the Pine Ridge Reservation, featuring artist studio spaces, the Wichapi Olowa Recording Studio, workshop and classroom areas, a performance venue, and offices for partner organizations. This support role is crucial in creating a safe and welcoming environment for the community to engage in cultural, creative, and educational activities rooted in Collective Spirit.

Compensation: This is a temporary, full-time non-exempt/hourly position with a pay range of $15 to $25 per hour, varying based on skills and experience.

Work Schedule: The standard work week for this position is Monday to Friday, 9 am to 5 pm, with potential modifications to accommodate program/event needs.

Key Responsibilities:

  • Prepare classrooms for workshops and meetings, including setup and takedown of furniture and equipment, as well as cleaning and sanitizing.
  • Perform light housekeeping duties within the building.
  • Assist with meal planning and logistics in collaboration with local caterers.
  • Manage workshop/class registration and assist with evaluations post-event.
  • Document all registration information in Salesforce as required.
  • Support inventory management by recording and tagging items.
  • Maintain office supplies and coordinate the upkeep of office equipment.
  • Handle deliveries and sort incoming mail.
  • Answer and transfer phone calls, screening as necessary.
  • Welcome and direct visitors and clients.
  • Maintain filing systems as assigned.
  • Retrieve information from records and prepare written summaries as needed.
  • Address administrative inquiries and provide resolutions.
  • Coordinate travel, meetings, and appointments for managers or supervisors.
  • Prepare agendas and take notes during meetings.
  • Perform additional related duties as assigned.
  • Manage facility scheduling and inquiries regarding usage.
  • Adhere to all policies and procedures for the safety and security of the facility and community members.

Qualifications:

  • A high school diploma or GED is required; an Associate's degree in Business Administration is preferred.
  • Two to three years of experience in an office or program support role is beneficial.

Skills and Abilities:

  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer service abilities.
  • Ability to collaborate effectively as part of a team.
  • Proficiency in Google Workspace, Microsoft Office Suite, or similar software.
  • Outstanding organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to take initiative and demonstrate problem-solving skills.
  • First Aid/CPR/AED certification is preferred; training will be provided if not certified.
  • Familiarity with Native arts and culture is preferred, along with knowledge of tribal communities across North America, particularly the Pine Ridge reservation.
  • Willingness to work occasional evenings and weekends for special programs and events.
  • Ability to sit for extended periods and work on a computer.
  • Capacity to lift up to 30 pounds as needed.
