Job Overview

We are seeking a Scheduling Administrator to become a vital part of our organization.

The Scheduling Administrator will oversee the direct coordination and management of daily schedules for Field Technicians who provide fire protection services to a diverse clientele. Key responsibilities include efficient scheduling and dispatching of technicians to ensure all customer commitments are fulfilled in accordance with PSI efficiency standards.

After successful training, a flexible hybrid work schedule may be available, allowing for 1-2 days of remote work and 3-4 days in the office each week.

Compensation ranges from $25 to $30 per hour, based on relevant skills and experience.

Key Responsibilities:

Scheduling Duties

  • Create and organize service and inspection appointments with clients using our Field Service Management software for fire alarm, sprinkler, suppression, extinguisher, and gate & door services.
  • Analyze daily reports to ensure technician schedules (including jobs and travel time) meet productivity benchmarks.
  • Maintain a list of jobs with flexible service windows to quickly adjust technician schedules in response to unexpected changes.
  • Handle emergency service requests and redirect technicians based on their location, availability, and necessary skillset.
  • Provide assistance to technicians and clients regarding scheduling inquiries, escalating issues to management when necessary.

Communication Responsibilities

  • Uphold PSI customer service standards through proactive communication via Field Service Management software, phone, and email.
  • Ensure clients have a clear understanding of our service fees.
  • Collaborate closely with technicians, managers, and other internal stakeholders, effectively relaying information between clients and the team.
  • Respond to client inquiries regarding inspections, repairs, and emergency services.
  • Ensure all necessary information for technicians to complete their tasks is current in the Field Service Management software.
  • Confirm that all client information required for invoicing is accurate at the time of scheduling (billing contact, purchase order, etc.).

Additional Duties

  • Other responsibilities may include basic administrative tasks, reviewing inspection and compliance reports, providing quotes for emergency service rates, and participating in related special projects as assigned.

Qualifications:

  • High School Diploma or GED required.
  • Associate or bachelor's degree preferred.
  • At least 1 year of administrative experience.
  • Scheduling and/or dispatching experience is preferred but not mandatory.
  • Familiarity with fire life safety or similar industries is advantageous.
  • Proficient computer and software skills, including Microsoft Office, CRM, ERP, and work order management systems.
  • Proven customer service skills and professional demeanor.
