Salary Range

The estimated salary for this position is $65,000 - $75,000 per year, based on industry standards and the level of experience required.

Responsibilities
  1. Manage daily operations of medical practices and personnel, ensuring a professional work environment.
  2. Supervise and lead office staff, promoting a positive and productive work culture.
  3. Schedule and coordinate patient appointments to optimize client satisfaction and facility efficiency.
  4. Create and update electronic health records, maintaining accuracy and confidentiality.
  5. Record and update personal and financial information, adhering to data protection policies.
  6. Order and manage medical and office supplies, ensuring efficient inventory control.
  7. Design and implement office policies and procedures, aligning with organizational goals.
  8. Oversee and manage all paperwork for patient care, medical compliance, and reporting, ensuring timely and accurate submissions.
  9. Assist with CAIPA administration, supporting population management initiatives.
  10. Maintain positive collaboration between doctors, medical, and office staff, fostering open communication.
  11. Supervise cleaning staff and coordinate maintenance activities as needed, ensuring a clean and safe working environment.
  12. Orient, train, and mentor medical practice personnel, promoting knowledge sharing and skill development.
  13. Arrange informational materials for patients, facilitating informed decision-making.
  14. Ensure adherence to healthcare laws, rules, and regulations, upholding organizational integrity.
  15. Maintain total confidentiality of personal and financial data, adhering to strict data protection policies.
  16. Collaborate with the Clinical Documentation Improvement team and Billing team to manage and troubleshoot claims and documentation queries.
RequirementsEssential Skills
  1. Demonstrated poise, tact, diplomacy, and good judgment in client-facing situations.
  2. Detailed-oriented, excellent organizational abilities to prioritize tasks and manage multiple projects.
  3. Strong written and oral communication skills to effectively interact with individuals at all levels of the organization.
  4. Ability to interact and communicate with individuals at all levels of the organization, promoting effective collaboration.
  5. Strong interpersonal skills to handle sensitive situations and confidential information with discretion.
  6. Ability to multi-task and prioritize workload in a fast-paced environment, adapting to changing priorities.
  7. Technology competency with electronic software needed for the role, including Microsoft Office Suite (Excel and Word).
Minimum Qualifications
  1. Previous working experience as a Medical Office Manager for 1+ year(s), demonstrating proven leadership skills.
  2. Fluent in Chinese, enabling effective communication with patients and colleagues.
  3. MA in Healthcare Administration, Business, or similar relevant field preferred, showcasing expertise in healthcare management.
