Job Summary
We are looking for a dedicated Customer Support Specialist to fill a vital role within our organization.
In this position, you will be responsible for managing all communications and tasks related to the intake of patient information concerning durable medical equipment and respiratory supplies, interacting with patients, colleagues, and referral sources regarding patient services and reimbursement processes.

- Assist in updating respiratory grids
- Review and finalize the previous day's route and ensure all documentation is accurate and complete
- Communicate with patients and referral sources both verbally and in writing to address inquiries and concerns promptly
- Complete Standard Operating Procedures (SOPs) and Clinical Medical Necessity (CMN) documents, and maintain tracking logs
- Adhere to all relevant company policies and procedures to comply with JCAHO and company standards
- Organize patient information, process necessary paperwork for the Billing Department, and compile batch reports for deliveries
- Maintain a referral log
- Monitor and manage office supplies
- Prepare weekly deposits for the location
- Generate invoices for upcoming routes
- Process documentation, confirm tickets, input new patient setups, and organize charts
- Provide assistance for all retail and walk-in equipment requests
- Offer technical support to customers
- Verify coverage information for Medicare, Medicaid, and private insurance
- Collaborate with external agencies to resolve customer issues
- May be required to cover on-call duties, operate a company vehicle, and deliver equipment to patients' homes
- Perform additional duties as assigned
QUALIFICATIONS:
Employment is contingent on
- Background investigation (company-wide)
- Drug screening (when applicable for the position)
- Valid driver's license in state of residence with a clean driving record (when applicable for the position)
Required Education and/or Experience
- High school diploma or GED equivalent, required
Preferred Education and/or Experience
- Experience with medical equipment, preferred
- Familiarity with medical billing practices and reimbursement processes, preferred
- Background in the medical field and administrative record management, preferred
- One year of related work experience, preferred
- Knowledge of medical terminology, preferred
Skills and Competencies
- Accurately perform basic mathematical calculations
- Effectively communicate in English, both orally and in writing
- Interpret various forms of communication (verbal, non-verbal, written, listening, and visual)
- Maintain confidentiality and discretion when handling sensitive information
- Multi-task while paying attention to detail
- Self-motivated, organized, with strong time-management and problem-solving skills
- Ability to work independently and collaboratively within a team
Machines, Equipment and Technical Abilities
- Proficient in email communication
- Skilled in internet navigation and research
- Competent in Microsoft applications; Outlook, Word, and Excel
- Familiar with office equipment; fax machine, copier, printer, phone, and computer and/or tablet
Physical Demands
- Ability to lift and carry office equipment as needed
- Requires lifting (minimum of 35 pounds) and transporting patient equipment
- May be required to cover on-call duties, operate a company vehicle, and deliver equipment to patients' homes
- Involves contact with patients and equipment with potential exposure to contagious pathogens
- Requires sitting, walking, standing, talking, and listening
- Requires close vision for small print on computer and/or tablet and paperwork
