Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our HVAC Installation Department. As a key member of our team, you will provide administrative support to our installation team, ensuring seamless operations and exceptional customer service.

Key Responsibilities
  • Provide administrative support to the HVAC Installation Department, including data entry, record-keeping, and communication with vendors and customers.
  • Assist with the preparation of estimates, service requests, and invoices, ensuring accuracy and timeliness.
  • Coordinate with dispatch and customers to schedule appointments and resolve issues.
  • Track repairs and work completed in trade software, Service Titan.
  • Support the management team with material orders and tracking.
  • Provide exceptional customer service, responding to inquiries and resolving issues in a professional and timely manner.
Requirements
  • 2+ years of administrative experience, preferably in a fast-paced environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with the ability to effectively communicate with customers, vendors, and team members.
  • Ability to work independently and as part of a team, with a strong work ethic and willingness to learn new methods.
