Job Overview

Le Vian is seeking a highly skilled and detail-oriented Executive Assistant to provide administrative support to the Executive Staff. The ideal candidate will possess excellent communication and organizational skills, with the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Provide confidential and discreet administrative support to the Executive Board
  • Manage complex calendars and schedules, including domestic and international travel arrangements
  • Screen incoming calls and respond to routine matters via email and correspondence
  • Arrange transportation and services for travel, including the overseas summer holiday
  • Schedule meetings with external contacts and internal employees
  • Organize and handle personal notes, invitations, and correspondence
  • Welcome guests, vendors, customers, and community leaders
  • Maintain filing for the executive office
  • Determine daily lunch menus and arrange for pick-up or delivery
  • Reserve conference rooms and define room setups, audio-visual needs, and other requirements
  • Support activities related to industry associations and charitable organizations
  • Arrange and manage details for special projects
  • Address requests from collectors who contact the Executive Board

Requirements:

  • Intermediate knowledge of Microsoft Office, Excel, and Outlook
  • High school diploma, college degree preferred
  • 3-5 years' experience in an office environment
  • Strong attention to detail and ability to multitask
  • Excellent communication, delegation, follow-up, and team building skills
  • Ability to exercise independent discretion and judgment
  • Solid problem-solving and analytical skills
  • Punctual and reliable
