Job Details

This position is part of a team responsible for organizational, leadership, and professional development processes for colleagues and leaders.

Key Responsibilities:
  1. Communicate effectively with colleagues and leadership regarding Organizational Development and Learning Services.
  2. Design and maintain databases of information related to professional development of staff, volunteers, and students.
  3. Coordinate external education requests, track registrations, travel arrangements, and expenses.
  4. Coordinate event set-up for leadership training, executive meetings, and focus groups.
  5. Coordinate education resource availability through the Marketing team and Copy Center.
  6. Track class paperwork, distribute to appropriate locations for data entry.
  7. Maintain new-hire welcome materials, ensuring all information is up-to-date with content and brand standards.
  8. Provide customer service and troubleshooting support to colleagues using the Learning Management System.
  9. Maintain and update organizational charts for leadership presentations.
  10. Coordinate CPR registrations.
  11. Train, instruct, and supervise office volunteers.
  12. Communicate with accounting, prepare invoices, gather information, and prepare reports for yearly budgets.
  13. Provide statistical reports as needed by management in various reporting modes.
  14. Respond to inquiries for education records reports from regulatory bodies, colleagues, and leadership team as needed.
  15. Act as a department receptionist, greeting customers and answering the phone as needed.
  16. Provide executive assistant support to the VP of Organizational Development and Learning.
Requirements:
  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Two (2) years experience in data entry preferred.
  • Advanced level computer skills, including Excel, Word, PowerPoint, Adobe, Zoom/Teams, and data entry.
  • Must be flexible, able to work independently and as a team member.
  • Ability to handle multiple tasks in fast-paced situations at the same time.
  • Ability to interact with all departments in a professionally and with a focus on customer service.
  • Good interpersonal skills with strong focus on customer service.
  • Critical thinking and problem-solving skills required.
  • Demonstrated passion for providing the highest quality support for paid and unpaid staff education.
  • Commitment and ability to work with various departments and interdisciplinary teams to meet patient/family care and organizational goals.
  • Strong interpersonal and oral/written communication skills.
  • Must have reliable transportation, enabling them to perform tasks and responsibilities in a timely and appropriate fashion.
