Job Summary

We are seeking a highly organized and detail-oriented Commercial Real Estate Legal Assistant to provide comprehensive support to attorneys handling real estate transactions. The ideal candidate will have a strong understanding of legal documents related to commercial real estate transactions, excellent written and verbal communication skills, and the ability to manage a busy workload for multiple attorneys.

Key Responsibilities
  • Perform various administrative duties, including drafting engagement letters, processing expense reports, coordinating with couriers, managing phone calls, and organizing travel arrangements.
  • Draft, review, revise, and proofread legal documents and correspondence related to real estate transactions, ensuring accuracy and compliance.
  • Create and format documents, edit, and track changes using advanced Word functions.
  • Assist with recording documents in public records and ensure all filings are completed accurately.
  • Manage attorneys' calendars, schedule meetings, and maintain up-to-date client contact information.
  • Handle conflict checks, and assist with opening and closing client matters.
  • Establish and maintain organized electronic and paper files.
  • Set up and maintain accurate billing requirements for clients, and ensure compliance with billing guidelines.
  • Input and edit attorneys' time entries, and review/edit pre-bills for final approval.
Requirements
  • Strong understanding of legal documents related to commercial real estate transactions.
  • Ability to manage a busy workload for multiple attorneys while working effectively in a team environment.
  • Attention to detail, with the ability to meet tight deadlines and adapt to shifting priorities.
  • Excellent written and verbal communication skills.
  • High degree of initiative, with the ability to prioritize and manage multiple tasks independently.
  • Proficiency in Microsoft Office 2016, particularly advanced Word functions and Outlook.
  • Experience with electronic document management systems, such as Filesite/iManage, is a plus.
  • Familiarity with online public record recording systems like Simplifile is beneficial.
