Role Summary

We are in search of a meticulous and organized Real Estate Administrative Assistant to enhance our operational efficiency. The ideal candidate will deliver vital administrative assistance to our real estate professionals, ensuring seamless daily functions. This position plays a key role in fostering client relationships, managing essential documentation, and supporting the overall productivity of our real estate services.

Key Responsibilities
  • Administrative Assistance: Deliver thorough administrative support to real estate professionals, including scheduling meetings, managing appointments, and handling communications.
  • Client Engagement: Act as a primary contact for clients, responding to inquiries and providing information regarding listings and transactions.
  • Document Management: Prepare and oversee real estate documents, contracts, and agreements, ensuring that all files are accurately maintained.
  • Marketing Assistance: Aid in the development and distribution of marketing materials, including brochures and online listings. Manage digital marketing efforts and update property listings across various platforms.
  • Database Oversight: Maintain and update client databases, ensuring accurate data entry and timely follow-ups on potential leads.
  • Transaction Management: Coordinate the transaction process from contract to closing, ensuring all deadlines are met and necessary documentation is completed.
  • Office Coordination: Perform general office tasks, such as answering phones, managing supplies, and maintaining an organized workspace.
  • Event Coordination: Assist in organizing open houses, client meetings, and other real estate-related events.
Qualifications
  • Education: High school diploma or equivalent; an associate's or bachelor's degree in business administration, real estate, or a related field is preferred.
  • Experience: At least 2 years of administrative experience, ideally within the real estate sector or a related industry.
  • Skills:
    • Exceptional organizational and multitasking capabilities.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with real estate software (e.g., MLS, CRM systems) is advantageous.
    • Detail-oriented with a commitment to accuracy.
    • Ability to work independently as well as collaboratively.
  • Other Requirements:
    • A real estate license or willingness to obtain one may be necessary.
    • Ability to conduct competitive market analysis in real estate.
    • Flexibility to work varied hours, including evenings and weekends, as required.

  • Bilingual Proficiency: Fluency in additional languages is a plus.
  • Technical Proficiency: Advanced skills in Microsoft Office and other relevant applications.
