Position Summary
As a key member of the Operations Team at Provivi, the successful candidate will collaborate closely with the Director of Facilities & Logistics on various aspects of our operational facilities. The main emphasis will be on maintaining the laboratory facilities and ensuring smooth operations.
Key Responsibilities
- Collaborate with diverse scientific departments on various tasks related to facility and laboratory management.
- Ensure the upkeep of laboratory equipment and glassware by adhering to operational guidelines, troubleshooting issues as they arise, performing routine cleaning, and scheduling maintenance visits.
- Oversee the management of the company's chemical inventory, assets, and Safety Data Sheets (SDS).
- Coordinate with contractors for on-site services and supervise their activities.
- Address facility emergencies, including plumbing, electrical, cleanliness, roofing, and other maintenance issues.
- Distribute laboratory supplies and chemicals to the relevant departments.
- Maintain accurate and cost-effective ordering processes by sourcing reliable vendors, obtaining quotes, negotiating terms, and ensuring quality of supplies.
- Anticipate inventory needs for Facilities and Formulation Materials while monitoring real-time usage and taking corrective actions as necessary.
- Manage the purchasing cycle by planning acquisitions, reviewing requisitions, creating purchase orders, following up on orders, assisting with goods reception, and processing final payments.
- Communicate order statuses and tracking information to all internal stakeholders in a timely and professional manner.
- Evaluate supplier performance and implement actions based on outcomes.
- Facilitate the return of rejected materials to suppliers for replacement or credit, proactively identifying and resolving issues that may affect product availability.
- Maintain strong relationships with suppliers to ensure adherence to quality standards, target pricing, and timely delivery of materials.
- Identify opportunities for process and system improvements, utilizing root cause analysis and lean methodologies to implement solutions that reduce inventory and eliminate non-value-added activities.
Qualifications & Skills
Education:
- Bachelor's Degree in a relevant scientific discipline.
Required Skills:
- Proactive individual with technical skills, interpersonal abilities, and a strong commitment to Provivi's mission and values.
- Experience in meticulously following and documenting procedures (e.g., autoclaves, freezers, safety protocols).
- Excellent oral and written communication skills, with the ability to effectively convey equipment and order statuses to the team.
- Ability to adapt to shifting priorities and manage multiple tasks simultaneously.
- Capability to lift heavy objects ranging from 15 to 50 lbs.
- Strong organizational and interpersonal skills.
- Proficient in Microsoft Office applications.
- Familiarity with ERP systems is advantageous but not mandatory.
- Knowledge of Spanish and/or Portuguese is a plus but not required.
- Basic maintenance skills (e.g., using a power drill) are beneficial but not essential.
- This position requires a daily on-site presence, with a flexible schedule based on business needs.
Salary Range: $80,000 - $100,000
