Job Title: Assistant Property Manager

Trubild is seeking a highly motivated and detail-oriented Assistant Property Manager to join our team. As a key member of our property management team, you will be responsible for providing administrative support, managing daily maintenance requests, and coordinating repairs with vendors and tenants.

Key Responsibilities:
  • Provide full administrative support, including phone support, typing, reports, filing, and distribution of correspondence.
  • Assist in lease administration activities, including abstracting leases and keeping our database current.
  • Process rental payments and obtain primary financial data for property accounting records.
  • Fulfill the role as the person-in-charge in the absence of the Property Manager.
  • Ensure all property files are prepared and maintained in an orderly and logical manner.
  • Prepare and coordinate bid proposals and service contracts.
  • Obtain aging report for management and follow up on all delinquencies, utilizing Trubild policies.
  • Ensure invoices are processed in accounting with appropriate backup and according to established procedures.
  • Coordinate tenant move-ins and move-outs.
  • Ensure tenant information within database is current and up-to-date.
  • Ensure Certificates of Insurance for tenants and vendors are up to date.
  • Ensure that above standard tenant bill-backs for electrical usage, after hours HVAC, and other similar charges are processed in a timely manner.
  • Assist property manager with aspects of annual budgets preparation and monthly financial reports, as well as preparation of bank deposits if processed at on-site management office.
  • Participate in performance oversight of all service contractors who perform contract services while reporting progress to property manager.
Requirements:
  • Minimum of 3 years administrative/management experience or equivalent required.
  • Two years direct property management experience preferred.
  • Knowledge of all phases of leasing and resident retention required.
  • Demonstrated experience delivering exceptional customer service.
  • Ability to maintain high ethical standards.
  • Ability to problem-solve and identify/implement process improvements.
  • Ability to communicate effectively both in writing and verbally in order to communicate issues, problems, ideas, concerns, and information on work progress.
  • Organizational skills to enable effective management of multiple, shifting priorities.
  • Ability to perform in a busy, changing, multi-tasking work environment.
  • Ability to pay close attention to detail and adhere to strict deadlines.
  • Proficient in Microsoft Office applications, Rent Manager experience strongly preferred.
  • Ability to work overtime, evenings, weekends, or holidays as necessary.
  • Valid driver's license required.
  • Bachelor's degree or equivalent experience preferred, Associates degree required.
