Job Overview
We're seeking an experienced Accounts Payable Specialist to support our day-to-day accounting functions. The ideal candidate will be organized, able to learn quickly, and possess excellent communication skills.
The successful applicant will be responsible for analyzing and processing account payable accurately, running payment registries, executing weekly check runs, maintaining files, and performing other related duties.
Key Responsibilities
- Analyze and process account payable transactions accurately, ensuring compliance with general ledger, project, and purchase order requirements.
- Run payment registries and execute weekly check runs based on payment terms.
- Maintain accurate and up-to-date files and backup documentation according to company policy.
- Perform 2- and 3-way matching processing, vendor conflict resolution, and month-end closing procedures.
- Monitor vendors' payments and agreements for potential discounts.
- Pay sales taxes on invoices as required.
- Track credits owed to the company and apply them accordingly.
- Assist in improving accounts payable processes.
- Interact professionally with external vendors and communicate effectively with operation departments and company staff.
- Support accounting-related special projects as needed.
- Prepare 1099s at the end of the current year.
Qualifications and Requirements
To be successful in this role, you'll need:
- A minimum of 3+ years' experience in accounts payable, with a strong understanding of financial transaction management.
- Excellent analytical and problem-solving skills, with the ability to work independently and collaboratively.
- Strong communication and interpersonal skills, with the ability to interact effectively with diverse personnel.
- Basic accounting knowledge, including an understanding of charts and financial statements.
- Proficiency in Microsoft software, including Word, Excel, and Dynamics 365 (D365).
