This position is ideal for individuals who possess a strong background in student admissions, academic record management, or administrative support, and who are passionate about fostering student success.
The Academic Records and Retention Specialist will be responsible for overseeing the preparation, verification, dissemination, and secure storage of all official student academic records in compliance with institutional, state, and federal regulations. The role also includes serving as the primary advisor for students, promoting engagement opportunities, and delivering exceptional customer service to the student community. This individual will monitor attendance, assist in advising students who are not meeting Satisfactory Academic Progress (SAP), and advocate for student retention.
Key Responsibilities:
- Ensure compliance with all institutional policies and procedures while adhering to state and federal regulations and accreditation standards.
- Develop, oversee, and modify campus course schedules as necessary.
- Assign faculty to courses and assist in monitoring class sizes.
- Coordinate schedules for hybrid and consortium classes.
- Facilitate new student registration and ensure eligibility verification.
- Process and resolve documentation related to student records, graduation, and registration.
- Maintain and update comprehensive student records.
- Handle student transcript requests efficiently.
- Review Proof of Graduation documentation to ensure compliance with institutional policies.
- Assist students with various administrative matters as required.
- Contribute to student communications, including newsletters and seminars.
- Monitor attendance and SAP daily to identify students at risk.
- Engage in outreach efforts to support at-risk and absent students.
- Document student concerns in the appropriate systems and assist in their resolution.
- Advise students on resources available for academic success.
- Support other departments in student engagement initiatives.
- Facilitate the creation and support of student clubs and activities.
- Collaborate with campus leadership to enhance student services.
- Notify appropriate personnel regarding student accommodation requests and assist in the documentation process.
- Work with various stakeholders to improve student services.
- Coordinate with the College Head Registrar on SAP appeal processes and ongoing student support documentation.
- Ensure timely completion of student and alumni surveys and compile data for review.
- Perform additional duties or special projects as assigned.
- Maintain professional relationships with all campus personnel.
- Exhibit a professional demeanor that positively reflects the campus and institution.
- Work on-site as required, with remote work options available when appropriate.
Qualifications:
- High school diploma or GED equivalent.
- One to three months of relevant experience.
- Strong attention to detail.
- Service-oriented attitude.
