Are you a master multitasker with a passion for event planning? EMT International, a leading provider of digital finishing solutions, is seeking a highly organized and proactive Executive Administrative Assistant. In this position, you will be the go-to person for our CEO and executive team, keep our office running smoothly by supporting HR, Marketing, Finance and other internal departments, plan and execute memorable employee events and customer visits, and champion our wellness initiatives and community outreach programs.

Executive Administrative Assistant Responsibilities:

  • Executive Support:
    • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and organize materials for meetings and presentations.
    • Act as a liaison between executives and internal/external stakeholders.
  • Administrative Support:
    • Provide administrative support to various departments including HR, Finance, Sales and Marketing, IT, and Supply Chain.
    • Answer and direct phone calls, take messages, and manage the general voicemail box.
    • Order and maintain office supplies, ensuring adequate stock levels and efficient use of resources.
  • Event Planning and Coordination:
    • Plan, organize, and execute employee events, customer visits, offsite meetings including venue selection, catering, logistics, and attendee communications.
    • Manage budget for events, track expenses, and ensure within financial guidelines.
  • Community Support and Wellness Programs:
    • Coordinate and support company-wide community outreach and volunteer events, aligning with the organizations culture.
    • Assist in the planning and implementation of employee wellness programs and activities.
  • Project Management:
    • Lead or assist in special projects as assigned by the executive team
    • Develop and maintain project timelines, task lists, and deliverables.

Executive Administrative Assistant Qualifications:

  • Bachelors degree in Business Administration, Management, Communications, or a related field preferred.
  • 3-5 years of experience in an executive support role; manufacturing environment is a plus.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
  • Excellent communication, planning, organizational, and time management skills.
  • Ability to work independently and collaboratively with a high level of discretion and confidentiality.
