Key Responsibilities
  • Executive Support:
    • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and organize materials for meetings and presentations.
    • Act as a liaison between executives and internal/external stakeholders.
  • Administrative Support:
    • Provide administrative support to various departments including HR, Finance, Sales and Marketing, IT, and Supply Chain.
    • Answer and direct phone calls, take messages, and manage the general voicemail box.
    • Order and maintain office supplies, ensuring adequate stock levels and efficient use of resources.
  • Event Planning and Coordination:
    • Plan, organize, and execute employee events, customer visits, offsite meetings including venue selection, catering, logistics, and attendee communications.
    • Manage budget for events, track expenses, and ensure within financial guidelines.
  • Community Support and Wellness Programs:
    • Coordinate and support company-wide community outreach and volunteer events, aligning with the organization's culture.
    • Assist in the planning and implementation of employee wellness programs and activities.
  • Project Management:
    • Lead or assist in special projects as assigned by the executive team
    • Develop and maintain project timelines, task lists, and deliverables.
Requirements
  • Bachelor's degree in Business Administration, Management, Communications, or a related field preferred.
  • 3-5 years of experience in an executive support role; manufacturing environment is a plus.
  • Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
  • Excellent communication, planning, organizational, and time management skills.
  • Ability to work independently and collaboratively with a high level of discretion and confidentiality.
