Job Summary:
The Purchasing Support Associate is responsible for entering purchase orders and performing related tasks to support the efficient purchasing of seafood products for our distribution operations. This role is crucial in maintaining accurate records, ensuring timely order processing, and supporting the overall Purchasing function.
Principal Accountabilities:
1. Enter purchase orders into the company's Purchasing system with high accuracy and attention to detail
2. Process and track purchase orders throughout the Purchasing cycle
3. Communicate with suppliers regarding order status, delivery schedules, and any discrepancies
4. Maintain up-to-date vendor information in the Purchasing database
5. Assist in reconciling received goods against purchase orders
6. Generate reports on Purchasing activities as required
7. Support inventory management by monitoring stock levels and alerting appropriate personnel of low stock situations
8. Assist in resolving any discrepancies between purchase orders, invoices, and received goods
9. Collaborate with other departments to ensure smooth Purchasing processes
10. Maintain organized digital and physical filing systems for Purchasing documentation
Minimum Desired Background
- High school diploma or equivalent
- Proficiency in Microsoft Office Suite, especially Excel
- Experience with enterprise resource planning (ERP) systems
- Strong attention to detail and data entry skills
- Excellent organizational and time management abilities
- Good communication skills, both written and verbal
- Ability to work independently and as part of a team
Preferred Qualifications:
- Associate degree in business administration, Supply Chain Management, or related field
- Previous experience in Purchasing or a related role
- Familiarity with seafood industry terminology and products
- Knowledge of inventory management principles
Physical Requirements:
- Ability to sit for extended periods while working on a computer
- Occasional lifting and moving of office supplies up to 20 pounds
Work Environment:
- Office setting with standard office equipment
- May require occasional visits to warehouse or storage areas
