The Opportunity:

Lumens is seeking a dynamic and independent Office Manager/Administrative Assistant to join our Sacramento team. As a central figure in our office, you will ensure smooth daily operations, create a positive environment for team members, and manage office and team logistics with exceptional organizations and communication skills. The candidate will also assist the C-Level team members with administrative needs such as maintaining calendars/scheduling, booking travel and planning meetings/events.

This is an on-site position located in midtown Sacramento with occasional visits to the San Francisco Bay Area.

Responsibilities:
  • Office Management
    1. Develop and maintain office standards and procedures for efficient operations.
    2. Build strong relationships with building management and vendors.
    3. Coordinate with building management and contractors for office modifications and repairs.
    4. Order, receive and distribute, stock, snacks, and office supplies.
    5. Manage parking passes, and security access.
    6. Assist with seating and space planning.
    7. Perform daily cleaning and organizing duties, including kitchen/breakroom areas.
    8. Process incoming deliveries and mail.
    9. Provide A/V and technical support in coordination with IT.
    10. Track all costs against budget and ensure financial efficiency.
  • Administrative
    1. Plan and execute company events, meetings, and off-site activities.
    2. Schedule and book employee travel.
    3. Process expense reports.
    4. Maintain corporate calendar along with other executive calendaring.
    5. Electronically deposit incoming checks and other light accounting tasks.
    6. Assist in new employee onboarding activities.
    7. Lead ongoing projects as assigned.
    8. Provide general team support and assist in ad hoc projects as needed.
    9. Maintain confidential data and comply with policies and procedures.
Qualifications:
  • 2+ years of relevant experience.
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
  • Experience in a fast-paced environment with strong multitasking abilities.
  • Knowledge of best practices in security, maintenance, and business administration.
  • Experience in planning and executing group events.
  • Ability to travel to different office sites as needed.
  • Excellent communication and feedback skills.
  • Highly organized with attention to detail and accuracy.
  • Strong verbal and written communication skills.
Physical/Office Conditions:
  • Administrative role with occasional lifting of up to 25 pounds.
  • Work in well-lit, climate-controlled office with moderate noise levels.

Location: Sacramento, CA
Compensation: $24.00 - $28.00 hourly
