Job Summary:

We are seeking a highly motivated and detail-oriented IT Project Coordinator to join our Enterprise Program Management team. The ideal candidate will have at least 2+ years of experience in project coordination, project assistance, or as a junior project manager, with a proven track record of managing budgets and resource allocation for large-scale projects. This role involves overseeing a budget in the range of several millions of dollars and coordinating a team of over 100 individuals. The IT Project Coordinator will play a critical role in ensuring the successful execution of projects by managing timelines, budgets, resources, and communication across multiple teams.

Key Responsibilities:

  • Budget Management:

    • Assist in the development, tracking, and management of project budgets, ensuring that all financial aspects are aligned with project goals and company standards.
    • Monitor budgetary spending and identify potential risks or areas for cost-saving.
    • Collaborate with finance teams to ensure accurate reporting and forecasting of project expenses.
  • Resource Allocation:

    • Coordinate and manage resource allocation across multiple projects, ensuring optimal utilization of over 100 team members.
    • Work closely with team leads to understand resource needs and constraints, ensuring projects are staffed appropriately.
    • Track and report on resource availability, usage, and allocation changes.
  • Project Coordination:

    • Assist in the planning and execution of IT projects, ensuring they are completed on time, within scope, and within budget.
    • Maintain project schedules, track milestones, and ensure timely completion of deliverables.
    • Coordinate cross-functional teams, including IT, finance, and operations, to ensure seamless project execution.
    • Facilitate regular project meetings, prepare meeting agendas, and document action items.
  • Communication and Reporting:

    • Serve as a primary point of contact for project-related communication, ensuring clear and consistent updates to all stakeholders.
    • Prepare and distribute regular project status reports, highlighting progress, risks, and issues.
    • Ensure all project documentation is up-to-date and accessible to relevant stakeholders.
  • Risk and Issue Management:

    • Identify, track, and manage project risks and issues, escalating them to senior management as necessary.
    • Work proactively to develop mitigation strategies and contingency plans.
Qualifications:
  • Experience:

    • 2+ years of experience in project coordination, project assistance, or as a junior project manager, preferably within a large enterprise environment.
    • Demonstrated experience managing budgets for large-scale projects, with a clear understanding of financial tracking and reporting.
  • Certifications:

    • PMP certification or current pursuit of PMP certification is strongly preferred.
  • Skills:

    • Strong understanding of project management principles, methodologies, and best practices.
    • Excellent communication skills, with the ability to convey complex information clearly and concisely to both technical and non-technical stakeholders.
    • Highly organized with exceptional attention to detail and the ability to manage multiple tasks simultaneously.
    • Proficient in project management tools and software (e.g., MS Project, JIRA, or equivalent).
    • Strong problem-solving skills and the ability to work effectively under pressure.
