ABOUT THE DEPARTMENT

The mission of Continuing Studies at the School of the Art Institute of Chicago is to provide an education that harnesses the transformative power of a leading art and design school, a world-renowned museum, and a vibrant city to support the development of critical thinking, rigorous investigation, and playful creativity. ABOUT THE POSITION

This is a 2 year grant-funded position

The College Arts Access Program (CAAP) is a three-year college bridge program for Chicago Public School (CPS) students committed to studying art and design and demonstrating financial need. Scholarships cover all program tuition, art supplies, transportation, and meals. Designed as a multi-year, holistic program, CAAP prepares high school students with the skills needed for admission to the School of the Art Institute of Chicago (SAIC) or another postsecondary institution.

Working closely with Continuing Studies staff and consultants, the program coordinator oversees the daily operations of the College Arts Access Program, emphasizing research, implementation, and evaluation of grant-funded activities in peer mentorship, evaluation, and participant stipends. The program coordinator will work directly with members of the CAAP community-participants and their families, faculty, peer mentors, and alums.

This is a part-time position. The typical work schedule is 20 hours per week scheduled within Monday to Friday, 9 a.m. to 5 p.m. CT. Evening and weekend work are required, and some remote work is possible.

RESPONSIBILITIES
  • Support planning and daily operations of the College Arts Access Program (CAAP), including grant-funded activities
  • Coordinate administrative procedures and systems and devise ways to streamline processes
  • Create and maintain comprehensive program documentation, plans, reports, and presentations; establish relevant policies; ensure adherence
  • Manage schedules and deadlines, monitor progress, and address any issues
  • Schedule and organize meetings and events, maintain agendas, record decisions (e.g., assigned tasks and next steps)
  • Track costs and expenses to assist in budget preparation
  • Maintain CAAP community records-participants and their families, faculty, peer mentors, and alums
  • Act as the point of contact for CAAP participants and their families, peer mentors, faculty, and consultants; manage communication with all stakeholders
  • Represent CAAP, Continuing Studies, and SAIC when needed
  • Duties, responsibilities, and activities may change or be added as needed at the manager's discretion.
PHYSICAL REQUIREMENTS
  • Prolonged periods sitting at a desk and working on a computer; must be able to remain in a stationary position up to 75% of the time
  • Move inside the office to access file cabinets, office equipment, etc.
  • During peak programming periods (weekends in fall and spring, weekdays in summer), moves between buildings, occasionally transporting materials and equipment
  • Instructional supply management requires some ascending/descending and positioning oneself to access materials in storage locations
  • Operates a computer and other office productivity equipment
QUALIFICATIONS
  • Bachelor's degree in education (preferably with an emphasis in art/design), business administration, or a related field required.
  • Minimum 1-2 years of experience in program coordination or project management, including preparing and interpreting schedules and step-by-step action plans required.
  • Knowledge of budgeting and grant reporting preferred
  • Understanding of best practices in education and youth development preferred
  • Excellent organizational skills, including multitasking and time management
  • Strong written and oral communication skills
  • Experience effectively interacting with individuals with diverse backgrounds and intersectional identities.
  • Commitment to mutual respect and effective collaboration
  • Detail-oriented and efficient
