Overview

Timely and accurate processing of documents received by mail and/or electronic upload for the SGWS and other departments within established guidelines.

Primary Responsibilities

  • Responsible for scanning all incoming documents and processed by SSD and all divisions.

  • Responsible for indexing (early archiving) all invoices into proper Workflow for processing.

  • Responsible for indexing Supplier Billing Chargebacks

  • Prepares documents for late archiving/scanning for Accounts Payable, Inventory Costing, General Ledger, and Supplier Billing departments.

  • Makes corrections to scanned images.

  • Supports internal and external audit activities, as required, to ensure that auditors are provided with the necessary information to complete their audits timely.

  • Responsible for preparing outgoing A/P checks for mailing.

  • Responsible for concatenating, printing, and inserting Supplier Billing invoices

  • Responsible for maintaining electronically transmitted supplier’s credits/invoices, freight and customs invoices.

  • Responsible for dispensing documents into assigned workflow for indexing.

Additional Primary Responsibilities

Minimum Qualifications

  • At least 2-5 years of Data Entry environment preferred

  • High School Diploma or GED Required

  • Knowledge and experience with an Imaging system a plus

  • Knowledge of standard Document Management concepts, practices, and procedures

  • Knowledge and experience with an Enterprise Financial System, SAP a plus

  • Excellent communication skills (verbal and written)

  • Good Customer Service Skills

  • Exercise good judgment to plan and accomplish goals

  • Strong analytical and interpersonal skills

  • Basic knowledge of accounting and finance principles

  • Proficiency in PC skills, particularly word processing and spreadsheet applications

  • Team player, energetic, self- starter, motivator

  • Ability to multi-task and handle large volumes of emails

  • Critical nature of this job may require extended hours

Physical Demands

  • Physical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machine

  • Physical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stooping

  • May require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbs
