Summary/Objective
The Administrative Assistant performs all secretarial duties for the Chaplaincy Department; receive and assist community visitors, particularly pastoral visitors, with appropriate access to patients within hospital guidelines and statutes; notify local congregations of requests by patients of admission to the hospital; maintains record of church and pastoral staff contact information of congregations in the hospital's service area; and liaisons with other departments in the hospital to maintain adequate communication.

- Efficiently manages secretarial duties for the Chaplaincy Department, demonstrating advanced proficiency in Google operating applications (Docs, Sheets, Calendar, Drive) and other relevant software, ensuring that all departmental tasks are completed accurately and on time.
- Oversees the coordination of departmental schedules, events, and interdepartmental communications, ensuring the Chaplaincy Department operates smoothly and aligns with the hospital's broader mission. Creates detailed reports, supports strategic initiatives, and liaises with hospital departments to maintain seamless operations.
- Facilitates detailed reporting and communication with Baptist denomination leadership and area association agencies, representing the Chaplaincy Department with professionalism and ensuring timely submission of reports and essential updates.
- Serves as the primary point of contact for the Chaplaincy Department, providing a warm and professional reception for the public, visiting clergy, and hospital staff. Ensures that all visitors are properly assisted and that patient privacy and hospital regulations are respected at all times.
- Maintains and updates a comprehensive database of area congregations and pastoral contact information. Quickly and efficiently notifies local clergy of patient admissions or emergency situations, ensuring accurate communication and compassionate care for patients and their families.
- Actively participates in managing the Chaplains' Emergency Relief Fund, providing crucial support to indigent patients in need. Reconciles accounts regularly, ensuring compliance and accountability, while working closely with the BHSET Foundation to provide assistance in a timely and organized manner.
